Library Assistant 3 (Limited)

The University of California, Merced is required to provide a reasonable estimate of the compensation range for this role. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience. The full salary range for this position is Step 1: $27.74/hr – Step 17: $36.08/hr. The budgeted hourly range that the University reasonably expects to pay for this position is Step 1: $27.74/hr.

Remote/Hybrid eligibility: In-Person

The schedule for this position will be Fri 2pm-6pm, Sat 10am-6pm and only works during the 16-week academic semesters. This position will not work during winter intercession or summer.

This union position is represented by the bargaining unit Clerical & Allied Services – CX Teamsters Local 2010.

The Access Services Unit is the primary customer service unit of the Library. Access Services operations include the following services: information delivery, customer service, course resources, collection maintenance, and stacks operations.

The Night/Weekend Services Coordinator is primarily responsible for the night/weekend operation of all Library services during assigned shifts. Manages the opening and/or closing of the Library on weekends. Oversees the operation and workflow of the Library service desks. Determines and coordinates student employees’ night/weekend work assignments. Orients and counsels student employees on departmental policies, procedures, and work assignments. Trains and coordinates the work assignments of student employees. During nights and weekends, determines work priorities, including but not limited to desk staffing; circulation operations, such as checkout and check-in of library materials; customer support and problem resolution; and shelving and shelf reading. Records and complies with unit statistics. Responds to security alarms and other security-related incidents. Responsible for the knowledge of all aspects of unit and Library opening and closing procedures. Provides basic support and troubleshooting for Library computers and printers. Instructs patrons on how to use the library catalog, UC Library Search, and place requests. Provides basic assistance with electronic resources, such as e-books and e-journals, and refers complex subject research to the appropriate UCM Library reference staff.

The Access Services unit within the Library employs approximately 20-25 student assistants (10-15 FTE). Coordinating this program includes supervision, training/coaching, and record-keeping for student assistants, in addition to responding to security alarms, documenting procedures, and managing shelving operations. The Night/Weekend Services Coordinator also supports building operations by assisting with completing assessments throughout the academic and calendar year, departmental inventories, and equipment surplus.

KEY RESPONSIBILITIES

• Night/Weekend Library Service Operations Service Desk operations. Under general supervision of the Library Services Manager, coordinates activities at the Help Desk (1st floor) and the Library Services Desk (2nd floor) and throughout the Library building during evening and weekend hours to ensure consistency with daytime operations, including:
• Security and Emergencies. Responds to security alarms and other security-related incidents that may involve deviant behavior, computer hacking, theft of personal or Library property, and evacuation of the Library. Follows Library and UC Merced policies and procedures to oversee and resolve any emergency situation or security incident. Performs routine building security checks. May be called upon to assume primary responsibility for emergency and security response.
• Supervision. Supervises 10 – 15 FTE student assistants performing various tasks in the Access Services Unit and in support of other Library units including, but not limited to: staffing service desks, manual and online circulation functions, shelving operations, and other access services functions. Support for other units includes coordinating and managing projects, such as database checks, statistical compilation, and records checks.
• Training/coaching. Responsible for training student employees and other career staff in all areas of circulation, course reserve, and other Access Services functions.
• Procedures / Training Manuals. Writes procedural documents for areas of responsibility. Writes training documents for each area of responsibility.
• Equipment. Manages day-to-day operations and maintenance of equipment within the Access Services Unit.
• Shelving operations. Assists with shelving operations ensuring that library print resources and other materials are re-shelved in a timely and efficient manner. Ensures that shelfreading, claims returned and missing items checks are performed routinely and consistently. Coordinates large projects related to shelving operations including but not limited to shelf cleaning, shelf reading and stack shifting.
• Building / Facility. Manages general building activity outside of normal weekday operating hours. Responds, reports, and resolves problems related to the use of the facility and/or safety/security issues; refers others to appropriate Library or campus personnel.
• Responds to user concerns or problems related to Library operations and services; independently resolves problems when possible, refers others to appropriate Library or campus personnel.

Library Programming Support

• Under general supervision of the Library Services Manager, provides support for routine processes related to ongoing Library operations.
• Schedules and plans Library and Library Services training events, coordinating with Library Administration as needed.
• Assists with data collection and creation of documentation for reporting purposes.
• Serves as the primary resource for Library room reservation processes.
• Under general supervision of the Library Services Manager, provides support for Library Facilities/Building operations and Library Programs:
• Assists with, schedules, and coordinates completing building assessments throughout the academic and calendar year. Assessments include but are not limited to: Occupancy, lighting, noise, furniture, and carpets.
• Information Services. Provides basic information and reference service at the Library Services Desk. Refers complex or advanced reference questions to library professional staff.

Other Duties:

• Local service. Serves on local committees, workgroups, and teams as assigned by the Library Services Manager.
• Project Management. Manages projects in support of the goals of the Library and Access Services Unit.

EDUCATION and EXPERIENCE

• High School Diploma, General Equivalency Degree (GED), or High School Equivalency Diploma (HSED) or equivalent.

• Recent library public service experience.
• Demonstrated knowledge of library public services.
• Demonstrated knowledge of standard office practices.
• Excellent organizational skills, ability to prioritize work, and complete assignments independently and as a member of a team.
• Demonstrated knowledge of Microsoft Windows-based computer programs, specifically the MS Word and Excel.
• Ability to search the internet and familiarity with e-mail programs.
• Excellent oral and written communication skills, including use of proper grammar, spelling and standard business formats.

• Must possess excellent customer service skills and be able to interact effectively with the public in a library setting. * Available to work night and weekend shifts.

CRITICAL KNOWLEDGE and SKILLS

• Knowledge of library and campus policies, procedures, organization and structure. (Preferred)
• General knowledge of library rules of safety and security. (Preferred)
• General knowledge of interlibrary loan principles. (Preferred)
• Knowledge of operating systems, computer maintenance, and technical assistance is preferred. (Preferred)
• Demonstrated technical skills and knowledge sufficient to troubleshoot routine hardware and software problems. Skill using imaging software, scanning equipment, and computer operating systems.
• Proven experience training, directing and delegating the work of others.
• Possesses excellent organizational skills, the ability to prioritize work, and the ability to complete assignments independently, as well as work in a team environment.
• Knowledgeable in use of Microsoft Windows-based computer programs, specifically MS Word and Excel.
• Flexibility in scheduling and a willingness to alter work schedule as needed to meet the staffing needs of the Library.
• Proven ability to remain calm when responding to emergency situations and to follow established emergency procedures.
• Ability to effectively communicate technical problems and solutions to other technical staff or vendors, and with users with diverse levels of technical knowledge.
• General knowledge of library operations and terminology, including the Library of Congress classification system and alphanumeric filing rules, to locate materials and identify location discrepancies.
• Excellent oral and written communication skills required, including use of proper grammar and standard business formats.
• Demonstrated knowledge and understanding of databases, catalogs, library networks, servers, and their use to support library services that intersect with public service and circulation operations.
• Familiarity with automation-related equipment, including terminals, workstations, scanners, modems, printers, communication lines, cables, connectors, and interfaces between equipment.
• Proven ability to learn and effectively assimilate and apply new technical information, techniques and procedures. Required Ability to maintain complete discretion, confidentiality, sensitivity and professional judgment.
• Works effectively in a fast-paced work environment, supporting multiple functions with fluctuating priorities.
