Overview

Oversees and coordinates the activities of the coding area of the Health Information Management Department, and ensures quality of coded abstracted data elements according to ICD-9-CM and CPT 4 coding convention. Performs all normal Supervisory responsibilities of hiring, training, coaching, and evaluating employees. Serves as acting Director of HIM in absence of the Director.

Responsibilities

  • Demonstrates the knowledge & skills necessary to provide care & services appropriate to any age related need to the patients or residents served on the assigned unit, where applicable
  • Selects hires and supervises staff in area of responsibility; initiates disciplinary action, including terminations: carries out annual performance appraisal of employees
  • Establishes work schedule for area of responsibility and assigns tasks: ensures that work is completed accurately and according to schedule
  • Ensures adequate staff coverage by coordinating the vacation and holiday schedules; approves overtime as necessary and arranges coverage for absent staff; maintains employee attendance records (including vacation time, sick days) and processes time cards for staff
  • Reconciles daily census.
  • Evaluates and monitor’s procedures to minimize delay in chart retrieval
  • Prepares written documentation required by administration. Department Director, Finance Department and 3rd party payors.
  • Monitors coding for quality control by randomly scanning cooing worksheets and corrections identified by computerized edit.
  • Collects, analyzes, assigns, and sequences all codes for diseases, operations, and complications for each patient discharge according to latest coding system.
  • Acts as liaison with hospital personal (Patient Accounts, Admitting, MIS, UR, Case Management, Physicians) and outside agencies on code assignments and resolves operational problems.
  • Prepares periodic reports and other documents for Department Director and Administration.
  • Regularly communicates with the director of HIM regarding any problems, issues or concerns regarding responsible units.
  • All other duties as requested.

Qualifications

Education: 

  • Graduation from an accredited Medical Record Technician program (ART) or from a recognized coding institution approved by the American Health Information Management Association (AHIMA).

Experience:

  • Minimum of five (5) years of HIM management and coding experience required.

Knowledge and Skills:

  • Ability to work in surroundings with degree of dust, noise, etc. without undue discomfort.
  • Ability to hear, talk, walk, stand, bend and stretch
  • Ability to read, write and interpret documents
  • Ability to sit for long periods of time at desk to perform job functions
  • Ability to stand for long periods of time at required patient bedside and/or procedural areas
  • Ability to communicate effectively with patients and/or co-workers
  • May be required to handle/ assist in lifting patients onto/out of exam beds/procedure stations
  • Must be trained in and knowledgeable of all Kingsbrook/Rutland policies and procedures pertaining to hazardous waste and hazardous materials and maintain qualifications applicable to assigned work
  • Other: Knowledge of all codes and demonstrate understanding

Licenses, Certifications:

  • Certified RHIA/RHIT/CCS/CCS required.

Physical Requirements:

  • Normal routine involves no exposure to blood, body fluid or tissue. Incumbents are not called upon to perform or assist in emergency care or first aid.
