Choice Legal is looking for a Manager, Order Entry to join our team!
The Manager, Order Entry coordinates the workflow with Supervisors and Team Leads to ensure all orders are processed accurately, timely, professionally, and according to legal requirements of each State and company polices. The primary objective of the Manager, Order Entry is to ensure client retention through high quality output, create employee longevity by providing proper training and guidance towards a growth-oriented career path, and mold employees to be goal oriented and team players. The role frequently interacts with other supervisors and administration to ensure consistent quality service.

The schedule is Monday to Friday 8:30-5:00pm or 9:00-5:30 pm.
Must have Paralegal experience.
ESSENTIAL JOB FUNCTIONS

  • Document, coordinate, and process improvements of Order Entry across all offices.
  • Act as the primary resource for order entry departments, answer questions or redirect questions to appropriate source, find solutions to order entry issues and ensure staff is up-to-date on operational procedures and policies within the order entry department.
  • Create programs for ongoing development of the order entry staff through training, coaching, and encouragement to ensure premier delivery of services and products.
  • Develop and implement procedures designed to improve operational efficiency and scalability.
  • Develop, track and report key performance of orders processed/reviewed/printed on a daily, weekly and monthly basis, including collecting reports per employee’s daily performance.
  • Perform all other duties as assigned.

ESSENTIAL MANAGERIAL RESPONSIBILITIES

  • Carrying out all responsibilities in accordance with the company’s standards, policies, and all applicable employment laws.
  • Managing and monitoring workflow and providing support, training, and techniques to assist staff in achieving department daily/weekly/monthly goals and standards.
  • Encouraging positive morale, maintaining harmony among staff, and resolving grievances when necessary.
  • Overseeing the completion and approval of employee timecards and coordinating overtime needs with management and staff as needed.
  • Actively participating in the department’s staffing requirements including hiring, onboarding, and separating of employees.
  • Creating and implementing plan to meet department’s goals and metrics based on workload and client needs.
  • Communicating change effectively and supporting those affected by change.
  • Managing insubordinate staff when warranted and initiating coaching or corrective actions as required and/or directed by upper management.
  • Evaluating staff needs and performance, providing periodic feedback to staff and reporting any performance concerns and/or recommendations growth opportunities to management.
  • Actively participating and successfully conducting annual performance evaluations.
Qualifications

education and/or Experience

  • High school graduate and/or GED equivalent, some college desired but not required.
  • Prior work experience in a legal services environment, or insurance claims office.
  • Previous supervisory experience required.

Certificates, Licenses, Registrations

  • Paralegal certification or equivalent job experience.

QUALIFICATIONS

* Must demonstrate self-motivation and self-direction.
* Must be familiar with state and federal legal statutes and code, state and federal legal documents, legal terminology, and HIPAA.
* Ability to absorb new ideas and concepts quickly.
* Ability to delegate and execute tasks in a high-pressure environment.
* Must demonstrate basic understanding of the internal processes of medical facilities and med-legal terminology.
* Must be able to multi-task and be able to adapt to change.
* Must demonstrate strong decision making skills.
* Ability to follow all company policies and procedures in effect at time of hire and as they may change or be added from time to time.
