Marketing & Client Services Assistant

Our London office was established in 2015 to service the UK, Europe, the Middle East & Africa, and is a key growth area for the firm. The position is an additional headcount to support the EMEA Business Development & Client Services team in London and Europe, while interacting and coordinating with the Business Development & Client Service, Legal & Compliance, and Operations teams based in NY/Dublin and the European/UK Compliance entities. This role reports to the Marketing and Client Services Administrative Supervisor and will work alongside a senior assistant. The ideal candidate will have excellent organization skills, be a good communicator (both written and verbal), have a keen eye for detail, and the ability to manage multiple tasks efficiently and to deadlines. Additionally, the ability to work in a small team and collaborate across offices and time-zones will be important. 

Responsibilities:

Business Development & Client Services Support – 80% per month 

• Develop, coordinate and distribute regular client reports (i.e. commentaries, statements, and questionnaires) within agreed deadlines
• Navigate the firm’s resources to collect information and respond to client requests, including RFPs.
• Provide compliance-approved marketing and sales materials to support the Business Development & Client Services team.
• Be an internal point of contact for all client, consultant and prospect requests and communications within the EMEA region, providing backup and support to the London Business Development & Client Services Support team.
• Update and maintain relevant information in Salesforce with the Sales team.
• Assist with ad-hoc projects and tasks

Administrative Support – 20% per month 

• Schedule meetings and conference rooms including any catering, audio/videoconference set up, preparing meeting rooms
• Process EMEA team expenses in our expense management system Expensify
• Assist with general office management, including maintaining supplies and managing the postroom.
• Prepare marketing materials for calls/meetings, manage calendars, print/bind presentations, and perform other ad-hoc tasks.

Duties, responsibilities and activities may change at any time. 

Note: We are currently working in a hybrid environment with 4 days in the office and 1 day remote. You will also have an additional 15 days of remote flexibility that can be used at your discretion. 

Qualifications 

• College Degree (preferred) or relevant financial services experience
• 1+ years of client service/sales support experience is preferred
• Experience or knowledge of the asset investment management industry is preferred
• Must be proficient with Microsoft Office Suite: Outlook, Excel, PowerPoint
• Must be able to work Monday-Friday 9:00am-5:30pm and on-site Monday-Thursday
