We are looking for an enthusiastic and self-motivated Medical Secretary to join our friendly practice team. The candidate would have experience of using Emis (clinical System), good sound knowledge of medical terminology and have worked as a Medical Secretary within the NHS. The Candidate must be accurate, have good communication skills, be a team player and also be able to work flexibly in the absence of colleagues. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Providing a full secretarial service for all GPs and health professionals as required. This mainly includes sending referrals via eRS and email, using Ardens templates and formatting letters, reports, and any other correspondence in an accurate and timely manner. Dealing with hospital, clinical, patient and practice queries via phone and email regarding hospital appointments, correspondence and treatments. Following up GPs tasks requests for information. Managing advice & guidance provided.. Providing template letters/forms for use by the practice, as required. Maintaining the computer-based clinic system in an accurate and secure manner. Assisting with the gathering of statistics and information, when required. Maintaining an accurate referrals database.Main tasks of job:1) Provide secretarial support to GPs and healthcare professionals, including audio and copy typing of medical letters, reports, referrals, and correspondence.2) Process e-Referrals (ERS) and paper referrals, ensuring all necessary information is included and deadlines are met.3) Manage GP task lists and workflow task list related to referrals and patient letters Act as a point of contact for hospitals and other healthcare providers regarding referrals and patient care coordination.4) Handle patient queries regarding referrals or letters with professionalism and sensitivity.5) Maintain patient confidentiality and adhere to data protection regulations at all times.6) Monitor and manage Emis Referral tasks/Docman Referral tasks/Accumail /Referral Email7) Support the admin team with general office duties, including scanning, coding and document management.8) Participate in meetings and training sessions as required by the practice.9) Ensure all work is completed in a timely and accurate manner to support patient care.10) To check and ensure all two week wait referrals have been received by hospitals/third parties.11) To received and dispatch mail12) To check and ensure all 2 weeks wait referrals have been received by hospitals/3rd parties.13) To provide covers for members of the secretarial team during periods of sickness and annual leave.
