UNICEF Charity Gala Dinners are organized annually in cities around the world with the support of private sector partners and the participation of distinguished guests and celebrities. These events aim to promote children’s rights and mobilize resources for vulnerable children through ticket sales, charity auctions, and individual donations.
UNICEF is planning to organize the first Charity Gala Dinner in Tajikistan. The event will take place in June 2026 (exact date to be confirmed) at a prime venue in Dushanbe, Tajikistan. The anticipated number of guests is 160.
A live auction featuring valuable lots will be conducted during the Gala Dinner. All charitable contributions and funds raised through ticket sales and the auction will support the implementation of a UNICEF programme in Tajikistan. The thematic focus of the event will be:
“Early Childhood Development – Early Support. Early Learning. Lifelong Impact.”
In this regard, UNICEF Tajikistan is seeking to engage a highly qualified Event Coordination Consultant (hereinafter referred to as the “Coordinator”) to ensure the effective planning, seamless organization, and smooth execution of the Charity Gala Dinner. The Coordinator will provide comprehensive support throughout the preparation and implementation phases of the event, ensuring that all logistical, operational, and coordination aspects are managed to the highest standards.

How can you make a difference? 

Under the overall guidance and direct supervision of the Communications Specialist, and in close coordination with the international consultant-coordinator and UNICEF’s institutional service providers, the Coordinator will be responsible for the comprehensive planning, organization, and execution of the above-mentioned high-level event scheduled for June 2026. This will include ensuring effective coordination among all stakeholders, overseeing logistical and operational arrangements, and facilitating timely communication to guarantee a seamless and professionally delivered event aligned with UNICEF standards.
To effectively promote the Charity Gala Dinner and generate interest among prospective partners and attendees, UNICEF Tajikistan will organize a Gala Dinner Presentation in May 2026 at the same venue where the main event will be held. The presentation event is expected to host approximately 50 invited guests and will serve as a platform to introduce the concept, objectives, and thematic focus of the Gala Dinner, as well as to engage potential supporters and sponsors.

DESCRIPTION/SCOPE of the ASSIGNMENT:
Under supervision of the UNICEF team, and in liaison with the international coordinator, the Coordinator will provide the overall coordination on UNICEF’s contracted companies (service providers) and lead on the overall coordination and preparation of the Gala dinner. 
The main objective of the Contractor is to ensure all services listed below are completed in a timely and quality manner, either through the Contractor or contracted companies (service providers). The Contractor will liaise with the UNICEF Tajikistan Country Office to discuss and agree in the first week of the assignment which services to contract through third party companies.
 
The main tasks include:
Event preparation:
-Lead the coordination of all outsourced providers for Gala dinner.
-Develop a detailed entertainment program, indicating time and walkthrough, run of show.
-Select and organize the performances of the two hosts (MCs) and other entertainment program participants. Hosts to speak in Tajik, Russian and English. Prior to selection of hosts, coordinate and approve it with UNICEF Tajikistan Country Office.
-Develop a comprehensive event workplan, indicated contractors responsible for specific times and timeline with clear milestones.
-Develop a step-by-step script of the Gala dinner.
-Develop a detailed agenda for both, the Gala dinner presentation (May) and Gala event itself (June).
-Work with the venue on the events menu. Provide the menu varieties to the Management of UNICEF Tajikistan Country Office.
-Provide all necessary attributes in accordance with the approved entertainment program.
-Prepare a final comprehensive event report for Gala dinner.
-Submit all of the produced video and photo materials to UNICEF Tajikistan Country Office.
-Provide event design/decoration. Provide UNICEF Tajikistan Country Office with mockup of the decoration.
-Weekly update meetings with UNICEF Tajikistan Country Office focal points.
 
Event marketing:
-Reach out to business media outlets to establish media partnerships for Gala dinner. Propose the list to the focal point at UNICEF Tajikistan country office for approval.
-Lead the marketing of the event at the places of mass gathering such as shopping malls, advertisement screens, hotels and airport.
-Lead on influencer engagement for event marketing of Gala dinner with support of Communication team.
-Provide UNICEF Tajikistan Country Office with a detailed plan of the influencer and media engagement.
-Work with selected business entities to promote the event through their social media channels.
-Provide a plan for paid advertisements on social media including Instagram, Facebook and LinkedIn.
-Develop and produce the necessary printed materials such as Gala Dinner themed roll ups, e-banners, personal and general invitation cards, nametags at the tables, menu design,
-Ensure all printed materials have logos of partners of the Gala Dinner.
-Provide full photo and video coverage of both events: Gala Dinner Presentation and Gala Dinner.
-Weekly update meetings with UNICEF Tajikistan Country Office focal points.
 
Sponsor management:
-Make list of potential sponsors and lead on sponsor attraction for Gala dinner process under supervision of Communications Officer.
-Coordinate the sponsor relations before, during and after Gala dinner, including management of sponsor visibility products, preparing and disseminating event reports for sponsors, addressing any sponsor asks.
-Reach out to business companies in Tajikistan for partnership around Gala dinner. Provide the list of business companies to UNICEF Tajikistan Country Office.
 
Ticket sale:
-Develop and implement under supervision and support from UNICEF Partnership and Communication teams an action plan for ticket sale with clear KPIs and diverse sale channels.
-Provide ideas for platforms where ticket sales can be conducted.
-Identify and mobilize high-level profile guests and other partners.
-Coordinate the list of invitees and conduct targeted approach to major companies.
-Provide the lists to UNICEF Tajikistan Country Office for approval.
-Assist Communication team in ticket sale through UNICEF social media accounts.
 
Auction management:
-Reach out to auction-targeted companies to secure unique items for Gala’s auction with support of UNICEF consultants.
-Secure high-value and unique auction items in close consultation with Partnerships officer.
-Prepare a plan for auction process organization, based on the secured auction items.
-Design and print the auction brochure.
 
Venue Management – Presentation of Gala Dinner (May 2026)
-Book the venue for presentation of Gala Dinner at the Gala Dinner venue.
-Invite the business representatives as well as media, influencers to the presentation.
-Ensure proper seating arrangements for 50 participants.
-Provide seating arrangements for approval.
-Ensure water is placed for participants.
-Place all the necessary visibility around the venue.
-Secure technical equipment such as screens and microphones.
-Provide photography and videography of the event.
 
Venue management – Gala Dinner (June 2026)
-Liaise with hotel and manage logistical and technical cooperation with the hotel for the Gala dinner, including screens, lights, microphones, and speakers.
-Lead on planning and coordination of Gala dinner venue decoration in close coordination with Communication team.
-Lead on organization of photo/video coverage of Gala dinner with support of Communication team.
-Ensure parking lot is secured for guests.
-Provide security for the event.
-Ensure flow of guests to welcome reception and allocated seats.
-Arrange the transfer of lots to the decoration and to the event, etc.
-Place advertising materials (table tents, installations, roll-ups) at Partners’ offices.
-Ensure coordination of services.
-Ensure ticket inspection at the event
 
Work Assignments:

3.Support Communications teams with marketing and advertising of the event
The support with marketing and advertising of the event through media, outdoor/indoor places and partner’s locations is provided.
4.Secure MC for auction, develop entertainment programme and secure headliners;
Coordinate the list of invited people, including VIP guests
The riders for 2 MCs for auction and headliners are finalized. The entertainment programme and headliners (including their riders) are prepared; The list of invited people, including VIP guests is developed; May-June 2026, 20 w/ds
5.Coordinate with UNICEF’s outsourced contractors on the design and technical equipment of the venue, including Welcome zone and Ballroom (stage, tables, others);
Develop the entertainment programme (to check the quality of the script, flow, performances, speakers) reflecting UNICEF’s mission and the event’s fundraising goals. 
The final design of decorations, menu and the technical equipment of the venue, including Welcome zone and Ballroom (stage, tables, others) is fully prepared at the hotel venue. The quality assurance on coordination of the event company is provided.The quality and the event show programme is prepared and approved; June 2026, 20 w/ds, 20%
6.Provide progress updates and a final reports on event execution and outcomes (funds raised, media reach, lessons learned);

Note:
The task must be completed according to the proposed schedule in this Terms of Reference.
•Communications with UNICEF will be carried out by telephone, by e-mail with the Assignment Supervisor and in face-to-face meetings. Approvals will be done electronically.
•Delivery of finished products is carried out by the Contractor to the UNICEF Supervisor or to the venue of the event and within the agreed time, without loss of quality for any particular type of product.
•Electronic materials will need to be sent to the email address of the UNICEF Supervisor. The file size must not exceed 30 MB, or the upload must be made through a file sharing service.
 
No travel within Tajikistan is required.

To qualify as an advocate for every child you will have… 

Minimum requirements:

  • Education: University degree in Event Management, Marketing, Public Relations, or a related field is required.
  • Work Experience: 
    -Minimum 3 years of work experience in providing full-cycle PR services, marketing, production, and event management services.
    -Previous experience with UNICEF or other UN agencies will be considered an asset.
  • Competencies:
    -Strong project management skills
    -Ability to create detailed timelines, budgets
    -Resource allocation and vendor coordination
    -Budget management and cost control
  • Language Requirements: 
       -Excellent communication skills; written and spoken English; knowledge of Tajik, Russian is an asset.
 
Note: The contractor should be prepared to reproduce any services at its own expense if the quality of the services does not meet the requirements of UNICEF.
