PLACEMENT: Grade 102
HIRING RANGE: $17.62 – $18.68 hourly

POSITION SUMMARY
To provide clerical support for the full-time secretary and department chair in assisting the department’s staff and faculty.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES
1. Assist with the preparation, marketing and hosting of Department recruiting, retention, academic and social events on campuses and at education centers.
2. Compile data regarding class enrollments and enrollment trends as directed by Chair.
3. Receive and direct visitors, handle phone calls, take and relay phone messages, and provide information requested information regarding courses, programs and scheduling.
4. Assist in ordering and maintaining inventory of textbooks, including communicating with publishers regarding student and faculty needs.
5. Order and maintain inventory of supplies. Stock classrooms with teaching supplies as necessary.
6. Order and maintain inventory of marketing materials for recruiting events. Work with Department Transfer Coordinator to set up university recruitment visits to Department.
7. Assist Faculty in preparing written correspondence and documents. Assist Adjunct Faculty in copying course materials as needed and in providing technical support.
8. Assist in maintaining Department calendar of events and for use of Business Computer Lab.
9. Create and update course and program flyers with program effectiveness goals and learning outcomes. Work with Persistence and Retention Faculty Coordinator to create events and materials to support students.
10. Assist Chair and Program Coordinators in collating data for APUs. Assist Chair in maintenance of documents and data for ACBSP accreditation.
11. Update and maintain department syllabi.
12. Work with Faculty Curriculum Coordinator to assemble material for committee submission.
13. Maintain matrix of classroom utilization.
14. Assist in maintaining department Website and Facebook.
15. Prepare student data requests to Office of Institutional Research as directed by Chair and Department Coordinators.
16. Provide back up support for departmental full-time administrative assistant as assigned.
17. Perform related duties as assigned.

MINIMUM QUALIFICATIONS
1. High school diploma or equivalent plus some additional secretarial training.
2. One (1) year secretarial and office experience.
3. Ability to type accurately and proofread carefully.
4. Experience with word processing, spreadsheets, and database software.
5. Ability to work both independently and as a team member.
6. Willingness to work cooperatively with others.
7. Ability to handle confidential information with care and prioritize duties
8. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.
9. Demonstrated commitment to the college’s core values of respect and inclusion, sustainability, integrity, collaboration, humor and well-being, innovation and quality.

PREFERRED QUALIFICATIONS
1. Associate’s degree.
2. Experience in the Academic Affairs area.
3. Knowledge of Colleague, Curriculog, and Verba applications.
4. English and Spanish verbal and written communication proficiency.
5. Demonstrated multicultural competence.

PHYSICAL DEMANDS
1. Normal office physical demands.
2. Ability to travel between campus locations and to and from community events.

WORKING CONDITIONS
1. Duties are performed indoors in the usual office environment.
