Job Title: Office Manager – West Allis, WI

Job Summary: The Office Manager is responsible for oversight of all administrative office activities, including the reception area. The Office Manager is also responsible for providing high-level administrative support and assistance to the CEO, COO and/or other assigned leadership staff.

Objectives:

• Maintain and refine internal processes that support high-ranking executives companywide and coordinate internal and external resources to expedite workflows
• Manage communication with employees by liaising with internal and external executives on various projects and tasks
• Oversee and lead the Project Coordinator team and ensure company standards are being met
• Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
• Provide high-level administrative support and assistance to the CEO, COO and/or other assigned leadership staff
• Support corporate initiatives
• Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization
• CRM
• Budget Watch
• Power BI
• Smartsheets
• Organize complex calendars and schedules, resolving any scheduling issues
• Assist with Human Resource initiatives
• Maintain contact with local schools
• Attend Career fairs
• Plan events both internally and externally
• Collaborate with corporate on Marketing materials for the company
• Manage sensitive matters with a high level of confidentiality and discretion – especially decisions directly impacting the operations of the company
• Other additional duties assigned by the executive team

Qualifications:

• Minimum 5 years of high-level administrative support and assistance
• High School Diploma or equivalent required
• Bachelor’s degree from a four-year college or university, or 5+ years of related experience and/or training.
• Excellent verbal and written communication skills.
• Must have experience with Smartsheets and Power BI
• Must be able to handle confidential information.
• Must be organized, detailed and able to prioritize tasks.

Position Type/Expected Hours of Work:

• This is a full-time position. Typical days/hours for this role are Monday-Friday 7:00am-4:00pm.
• Occasional travel is required between IKM’s three office locations in West Allis, Madison and Green Bay.
• This position is an on-site role.
