We’re seeking a dynamic and proactive Office Manager who will be pivotal in ensuring our workspace operates seamlessly while fostering a vibrant, collaborative culture. This role is not just about managing an office – it’s about creating an environment where people feel welcomed, supported, and inspired to do their best work.

Reporting directly to our Head of HR EMEA, you’ll champion the London office culture, managing day-to-day operations and supporting our European Management Team.

This role is primarily in-office, with a minimum on-site requirement of Tuesdays and Thursdays. While we value flexibility, this position is essential to the in-office experience, making your presence key to building a positive and productive atmosphere

Be the Heart of Our Office Culture

  • Collaborate Across Borders: Partner closely with our Frankfurt-based Office Manager to ensure smooth, consistent operations across our EMEA offices, providing support and backup as needed.
  • Champion Office Culture: Act as the key liaison with building management to maintain a comfortable and functional workspace. Work with HR to plan engaging in-office and offsite events, including global initiatives, all while managing budgets and logistics with finesse.
  • Onboarding & Offboarding Support: Oversee new hire and exit processes, working with IT to ensure equipment is ready and coordinating deliveries for remote employees, making every transition seamless.
  • Administrative Excellence: Be the main contact for all office-related matters, tackling inquiries and challenges with a proactive, solutions-driven approach that enhances everyone’s experience in the office.
  • Health & Safety: Serve as the Health and Safety representative for our London office, ensuring compliance with H&S standards and coordinating training as needed.
  • Daily Operations Oversight: Take charge of office supplies, catering, and vendor relationships, keeping our office running smoothly and efficiently while balancing costs.

Provide Outstanding Support to Our Executive Team

  • Management Team Coordination: Provide essential support to executives, managing schedules, travel, and day-to-day needs with professionalism and precision.
  • Meeting Preparation: Organize materials, prepare agendas, and ensure follow-ups are managed, setting up our teams for success.
  • Expense Management: Accurately manage and report expenses to finance, ensuring timely and efficient processing.
  • Confidentiality & Professionalism: Handle all sensitive information with the highest degree of discretion, representing our senior team members with integrity and professionalism.
  • Proficiency in Microsoft Office Suite
  • Exceptional organizational and multitasking abilities
  • A collaborative spirit and proactive approach
