Job Title: Office Manager

Department: UK (International)

Manager/Supervisor: VP & General Manager – UK, Benelux & DACH

FLSA Status: Exempt

Position Overview: The Office Manager will manage the day to day operations of our office environment. The ideal candidate is enthusiastic, proactive, confident, sociable, and has a strong work ethic.

Based in London, the job holder will act as the go to administrative person for the International Leadership team, responsible for general admin tasks (expenses, share-point management, meeting coordination, etc); as well as support the smooth organization and running of meetings, events, and office maintenance.

Responsibilities:

  • Prepare purchase orders and track payment status’.
  • Prepare and submit expense reports.
  • Coordinate and initiate conference calls and WebEx meetings.
  • Arrange domestic and international travel on an as needed basis.
  • Scheduling/event management for employee events.
  • Proactively support the company’s strong culture through socials, events, and regular engagement.
  • Calendar, coordinate, and host meetings, calls, webinars.
  • Organize logistics and catering for meetings.
  • Go to person for the International Leadership team administrative assistance.
  • Maintain the condition of the London office and arrange for necessary repairs, deliveries, etc.
  • Manage multiple external vendor relationships and office maintenance.
  • Review and update health and safety policies within the office.
  • Coordinate the onboarding requirements of new staff regarding in the office.
  • Organize shipments to European employees, offices, or conferences, when necessary.
  • Perform special projects and other duties as assigned.

Education and Experience:

  • Minimum of 3 years’ experience administration support/office management/ similar role.
  • Experience supporting multiple teams preferred.
  • Fluent in English, other languages are a bonus.

Skills/Competencies:

  • Dependable, highly organised, and very detail oriented.
  • Possess strong problem resolution and project management skills.
  • Ability to act independently and use discretionary judgment.
  • Heavy Microsoft Outlook scheduling experience.
  • Extremely knowledgeable in Microsoft Office suite (Word, Excel, and PowerPoint).
  • Exceptional verbal, written, presentation, and communication skills.
  • Ability to handle multiple projects at any given time.
  • Team-oriented able to collaborate with different teams across all functions.
  • Superior interpersonal skills.

Physical Requirements:

  • Able to work longer than an 8-hour workday as needed.
  • Full time office role, with potential to flexi-work as business allows.
  • Located close to office in case of emergency.
  • Self-dependent and drive

NOTE: This position is eligible for hybrid working arrangements (requires on-site work from an Insulet office at least 1x/week; may work remotely other days). #LI-Hybrid
