Org. Setting and Reporting
This position is located in the Office of the High Commissioner for Human Rights (OHCHR), Engagement and Partnerships Service (EPS), in the Meetings, Documents and Publications Unit (MDPU), Geneva. The incumbent reports to the Head of MDPU.
Responsibilities
Within delegated authority, the Documents Management Assistant will be responsible for the following duties: – Evaluate pre-session, in-session and post-session documents submitted for processing in order to verify legislative mandates, ensuring compliance with submission dates and word limits, and in accordance with relevant policies, guidelines, rules and regulations on control and limitation of documentation; and assist OHCHR colleagues in observing and implementing established United Nations policies, regulations and procedures with regard to documentation; – Verify conformity to forecast, word counts, standard style and formats adopted by the Organization and use of updated templates and/or format applications, promptly informing submitting officers of any issues relating to said conformity; register submitted documents in gDoc and update relevant status table upon successful verification; – Provide guidance to submitting officers and/or secretariats on formatting (including track changes, where applicable), document preparation, and use of macros and templates; respond to and follow up on document queries; liase and coordinate with the Documents Management Section (DMS) on document-related matters; and maintain a monitoring system for the timely submission of documents based on approved document submission forecasts; – Train and supervise new staff as appropriate; handle non-routine and complex cases, identifying problems and providing historical background on specific issues; and carry out other tasks requested by the Head of Unit.

Work Experience
A minimum of seven (7) years of experience in conference services and documentation management is required. The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher. Experience working with Microsoft Office Suite, in particular databases and Excel, is required Experience working within the United Nations common system or similar international organization, is desirable Experience working with a document management system, such as the gDoc platform, is desirable
Languages
For the position advertised, fluency in oral and written English is required. Knowledge of another United Nations official language is an advantage.
Assessment
Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.
