The position of Operations Assistant is assigned to the Papua New Guinea Resident Mission (PNRM) within the Pacific Department (PARD). You will be based at our Resident Mission Office in Papua New Guinea.

Your Role:

As an Operations Assistant, you will provide administrative support to PNRM activities and will assist with the project implementation, technical assistance (TA) processing and implementation, database management, and logistics support.

You will:

  • Coordinate supervisor(s) schedule, schedule meetings with partners (internal and external)
  • Process missions, archive related documentation (travel requests, expense reports).
  • Provide logistics support – meetings set-up and transportation – for visiting missions from Headquarters and assigned staff in PNRM.
  • Prepare draft routine communications to the government of PNG and other partners, with guidance from international and senior local staff ensuring compliance the latest ADB template and Handbook of Style and Usage and procedures. Facilitate dispatch of signed communications.
  • Coordinate with government agencies on approval requests and outstanding obligations.
  • Support the team in related operation activities such as selection of consultants, processing of claims, contract variations, internal memos and other documents
  • Provide back-up support to the other (Senior) Operations Assistants in the latter’s absence or relieve other operations assistant, as necessary
  • Perform other responsibilities that may be assigned as reflected in the your workplan.

Qualifications:

You will need:

  • Bachelor’s degree in finance, social sciences, business studies, or other related fields.
  • At least 5 years of professional work experience, preferably with some experience in international multilateral and bilateral agencies.
  • Ability to work independently on assigned tasks, areas of analysis and research, which have well-defined scope and steps.
  • Excellent written and verbal communication skills in English.
  • Proficiency standard software programs (Word, Excel, Powerpoint) and information technologies
  • Good interpersonal skills and ability to work collaboratively with individuals from different cultural and technical backgrounds.
  • Familiarity with local languages and government and/or state institutions.
