Under the direct supervision of the Chief of Mission and in collaboration with relevant Project Managers, the Operations Associate is responsible for supporting the resettlement and movements activities in IOM Australia, with the following duties and responsibilities:

Responsibilities

  • Act as the operational focal point for the active resettlement and self-payer travel programs managed in the mission.
  • In coordination with the Project Manager, prepare regular program information updates and reports for the purposes of monitoring performance against established program performance measures and quality assurance.
  • Keep abreast of key relevant program developments and support the Project Manager to provide updates to IOM country offices and Headquarter (HQ).
  • Coordinate directly with donor resettlement operations team the operational program requirements and obtain cost approvals in line with established contract requirements and procedures.
  • Coordinate operational requirements with missions in line with contract and in compliance with RMM guidelines and policies.
  • In coordination with the project manager, maintain IOM movement and project information systems in line with established organizational standards.
  • Maintain the coordination of information flows between Toll and missions with respect to self-payer 202 cohorts receiving services under the Australian Resettlement Programme.
  • Facilitate beneficiary travel bookings as required in line with established program SOPs and for staff in accordance with IOMs travel regulations.
  • Contribute to the development of communication materials and resources to improve the awareness and accessibility of available programs.
  • Foster and develop positive relationships with beneficiaries, donors and other stakeholders through regular engagement, timely and professional communications.
  • Assist to identify opportunities to diversify and expand the missions program portfolio and contribute to the development of project proposals.

Qualifications:

Education:

  • High School diploma with five years of relevant experience; or,
  • Bachelor’s degree in Social Science, International Relations, Regional Studies or a related field from an accredited academic institution with three years of relevant professional experience.

Experience:

  • Prior Movement Operations and/or transportation experience;
  • Demonstrated proficiency with IOM’s movement operations proprietary tools (IGator, MiMOSA, SAR, Amadeus, etc) is highly preferred;
  • Experience working in Resettlement Program is a strong advantage;
  • Experience in working with refugees, beneficiaries,  migrants, civil society and government is an asset;
  • Prior experience working for IOM, a UN agency, or another international organization is an advantage;
  • Experience working in a multi-cultural setting.

Skills:

  • Knowledge of migration-related issues;
  • Proven ability to work with vulnerable individuals;
  • Strong interpersonal, written and oral communication skills;
  • Attention to detail and ability to organise;
  • Strong computer skills – Word, Excel and Internet.
