In line with the Government’s Shared Services Strategy, the Matrix Programme is intending to deliver modern, cost-effective and scalable shared business services to nine departments (the Policy Cluster), with UKSBS as the provider, flexibly meeting changing Government requirements, and driving innovation to optimise efficiencies and enhance user experience. The Programme will also implement a new modern SaaS ERP platform, from which UKSBS can deliver these services, driving harmonisation and significant business change across the Departments. This is a large, complex multi-year programme.

To further support the programme we are now seeking an experienced PMO Support Officer. 

The role will require responding to different types of challenges and tasks on a daily basis in a fast-paced environment. You must be able to react quickly and independently to requests, with the ability to recognise competing priorities and take the initiative to make decisions and respond as needed.

Duties will include but are not limited to:

  • Ensure all project documentation is kept up-to-date, organised, and compliant with PMO standards
  • Provide secretariat function to formalised governance meetings, to include Scheduling, organising, and preparing agendas for meetings
  • Record keeping
  • Coordinate and schedule meetings and workshops
  • Manage and maintain mailboxes
  • Manage travel arrangements in accordance with the travel policy
  • Act as a point of contact and coordination between project teams, PMO, and other stakeholders for administrative matters
  • Provide ad hoc general administrative support to the PMO team 

Flexibility may be required to respond to the changing needs of the organisation and the service. You may also be asked to support with ad hoc projects and pieces of work relevant to your role in line with Matrix programme business requirements. 

Knowledge, skills and behaviours: 

  • Educated to GCSE level or equivalent, including Maths & English
  • Experience gained in either PMO Support or similar administrative environment
  • Experience of taking and producing good quality, timely Minutes, Actions and Documentation 
  • Willing to do training (Any Agile or PRINCE Certification) 
  • Excellent interpersonal and written communication skills, 
  • Good working knowledge of Excel including pivot tables and formulas 
  • Experience of using SharePoint and SharePoint Online, MS Visio and Oracle would be advantageous 
  • An understanding of Change and Project Management methodologies

Things you need to know

To be considered, you will need to successfully obtain BPSS Enhanced clearance before commencing the role, obtaining clearance usually takes 5-10 working days.

UKSBS does not hold a Home Office Sponsor Licence under the UK Immigration System, therefore applicants must have eligibility to live and work in the UK at application stage.

Working pattern

Full-time 37 hours per week
