Program Officer, Center for US-China Relations

Position description

This role assists in running administrative and other aspects of the Center on U.S.-China Relations (CUSCR) which is dedicated to promoting better understanding of U.S.-China relations through research, the distribution of timely information on critical issues, the creation of collaborative projects, and the development of creative public programming across issues including policy and business, media, arts, and culture. 

This role will work closely with the Arthur Ross Center Director and under the direct supervision of the Associate Director, U.S. Programs to ensure the smooth running of Center projects. This includes running the Center’s public events, arranging logistics for private events and conferences, coordinating social media and other public outreach, and providing administrative support as requested for ongoing policy work, such as the Center’s Task Force on U.S.-China Policy and relating working group meetings. In addition to the general Center tasks, this role may be asked to help support the Center’s China Books Review as needed with tasks such as posting content to its website, and running the Review’s events at Asia Society. 

RESPONSIBILITIES:

• Work directly under the Associate Director, U.S. Programs in supporting the Center’s general operations and programs.
• Provide support for CUSCR initiatives – including projects, advisory groups, dialogues, and other projects items as assigned; this includes events management, timelines, notetaking, and project deliverables.
• Provide support for grants that fund the projects, including assisting with budgeting, keeping track of expenses, timelines, deliverables, and drafting grant reports.
• Prepare materials for use in meetings, including but not limited to event announcements, handouts, background material and talking points, PowerPoint presentations, correspondence with participants, and social media or other promotion for the event;
• Manage the Center’s events in terms of coordination with speakers, AV, box office and publicity for both public and private events, virtual and in person, some on evenings or weekends, with some travel for events possible.
• Provide administrative support, as requested, on financial matters related to payments, including communications with external vendors and contributors.
• Update and maintain the Center’s online presence, including updating website, event calendar listings, and social media accounts.
• Update and maintain contact databases, mailing lists, media and journalist databases, and internal planning calendars.
• Provide administrative assistance to Center initiatives such as the Task Force on US-China Policy, helping as needed to organize participants, meetings, agendas, partnerships, public events, report rollouts, and publicity.
• Maintain and improve office systems and procedures to ensure timely and efficient administrative workflow;
• Oversee the department’s team of interns as needed, including assigning research tasks, providing feedback and guidance, and ensuring research quality;
• Participate in relevant internal and external meetings relating to Center activities, as requested.
• Act as the Center’s main contact with the Asia Society Communications Team in publicizing Center activities and events.
• Support the Center’s China Books Review publication if needed, by updating the Review’s website and other tasks where necessary.
• Perform other relevant duties as needed.

 

Qualifications

Education and Experience:

• 2 to 3 years of administrative experience, ideally including organizing speaker events and other programs, coordinating conferences, reconciling expenses, and providing support for grant proposals and implementation
• Bachelor’s degree — in international relations/affairs, political science, public policy, Chinese history or politics, or other related area
• Experience in Asia and Asia-related policy issues (Chinese language proficiency and research experience in Chinese development, economic, and other policies preferred)
• Experience at interacting across cultures and skill in dealing with diverse constituencies (e.g. Asia experts, Asia Society trustees, foundation staff and other funders/donors)

Skills and Abilities:

• Excellent written and oral English communication skills, including proofreading and editing skills
• Ability to research information and present it concisely
• Ability to work with senior and junior colleagues with tact, respect, and good judgment
• Ability coordinate a variety of tasks effectively, simultaneously and consistently follow up on details
• Highly organized, with strong work ethic, attention to detail, and the ability to take initiative
• Excellent computer skills. Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and other commonly used applications
• Team player willing to assist where needed
• Chinese language skills a plus

COMPENSATION & BENEFITS:

Salary Range: $50,000 – $60,000

Compensation within this range is determined by skills, experience, and organizational equity.
