Summary

We are seeking a highly organized and proactive Project Administrator to manage and coordinate all aspects of project documentation, client communication, and logistical support. This role plays a critical part in ensuring seamless project execution from initial quotation through to final delivery and warranty support.

Essential Job Functions

  • Administers all project management documentation internally and externally.
  • Take-offs and product training to acquire industry knowledge
  • Provides clientele support, including but not limited to construction & project schedules, inventory management, and communication internally and externally.
  • Facilitates client orders
  • Monitors project execution from shipment to warranties; facilitates resolution of all damages, missing products, and delivery service failures.
  • Partners with shipping companies, manufactures, and jobsites for freight issues & special delivery requirements
  • Liaison between manufacturer and clientele with warranty support claims
  • Produces and distributes weekly expediting reports.
  • Manages any additional materials needed
  • Provides O&M manual for all projects, listing warranties for all products provided
  • Prepares and provides quotations for inside sales and new business development
  • Summaries & Consolidates billing for projects, based on customers’ requirements
  • Team leader on small projects.
  • Travel to client’s offices, jobsites, manufacturer factory tours, trade shows and other affiliated locations that are specific to clientele expectations and improvements to processes.
  • Collaborates with Project Manager from other accounts, departments, and groups to identify and improve processes
  • Ability to develop and maintain positive relations with customers, coworkers, and supervisors.
  • Ability to multi-task and to work effectively in a fast-paced environment.
  • Ability to work flexible business hours

education/experience

  • 1-year customer service experience
  • Associate s’ Degree required; Bachelors’ Degree preferred

This position has no supervisory responsibilities.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This position is very active and requires standing, walking, bending, kneeling, stooping, and climbing. The employee must be able to lift and move items up to 50 pounds.
