Job Description:

  • This is a full-time (40 hours/week) temporary Administrative Assistant role that supports the Quality Assurance Unit in the Adult & Aging Division in the Pennino Building.
  • Workload will include project management, and involves data entry, organization, and reporting to various stakeholders. The Administrative Assistant will support the execution of projects and perform given administrative assignments timely within specific objectives and timelines identified. Work requires, at a minimum, basic proficiency and understanding of using relevant office systems such as the Microsoft office suite programs including but not limited to Microsoft Word, Outlook, Teams, PowerPoint and Excel.

Role & Responsibilities:

  • Provide general administrative support to Quality Assurance Unit
  • Create and maintain spreadsheets and internal documents as needed for project management purposes
  • Schedules events, tracks and monitors progress towards event execution
  • Monitors and tracks progress of staff training completion; organizes information and produce standard reports as requested
  • Shares information with multiple partners and conduct follow up actions as needed
  • Performs weekly/monthly communication entries in shared project management documents
  • Creates documents including flyers, and other materials as requested
  • Collect invoices and follow up with fiscal team to ensure timely payment process
  • Work alongside internal administrative staff to ensure duties across the division meet work needs;
  • Assist with the preparation, distribution, data entry and analysis of surveys
  • Provides logistical support in event planning; including support set up and tear down of division events
  • Maintain, order and track supplies, as needed;
  • Provide general support as needed with unscheduled projects, data entry and programmatic needs

Required Knowledge/ Skills/Abilities:

  • Employee will work in this position employed through the appropriate temp hiring agency.
  • Employee should have the ability to follow standard office procedures, the ability to read and comprehend business documents, and the ability to process, manipulate and integrate data. Employee must be able to maintain effective working relationships with both external and internal contacts.
  • Proficiency in Microsoft Office Suite products is required.

Preferred Candidates:

  • Preferred candidates will have extensive experience with project management, providing customer service to a diverse population, outstanding customer service skills and the ability to establish and maintain effective working relationships with both external and internal contacts. In addition, they will possess strong problem-solving skills; the ability to process and integrate complex data and information.
  • Ability to maintain confidentiality and be sensitive to political issues; and the ability to communicate effectively (both orally and in writing).
  • Preferred candidates would have extensive knowledge in applying Microsoft Office Suite applications. The position requires a detailed-oriented, organized individual with a high level of initiative and the ability to multi-task.
