We’re thrilled to offer an exciting opportunity at NSF to join our Oxford team as a Reception and Facilities Coordinator. You’ll play a key role in supporting the smooth operation of our office, providing essential administrative and organizational support to our Regional Vice President and multiple business leaders. You’ll be at the heart of ensuring that the Oxford office runs efficiently, from managing reception and facilities to overseeing health & safety, all while being the first point of contact for visitors and clients.

Including, but not limited to:
- Welcome visitors and provide assistance as needed, creating a positive first impression
- Take charge of facilities management, ensuring everything runs smoothly, from maintenance and cleaning services to health & safety compliance
- Offer seamless administrative support to business leaders, enabling them to focus on strategic priorities
- Coordinate and organize meetings and events
- Efficiently manage incoming mail and correspondence, ensuring it reaches the right person promptly
- Route phone calls and emails, acting as a key communication hub for the office
- Manage suppliers and keep stock of office supplies, placing orders where required
- Arrange travel & accommodation support for business leaders & visitors
- Coordinate office activities and operations to secure efficiency and compliance
- General administrative support when required
- Other duties that are reasonably within the scope of the role and function
- Proven experience in general administration & reception duties
- GCSE Math and English (or equivalent)
- Exceptional organisational skills with a keen eye for detail and accuracy
- Ability to maintain confidentiality, integrity, and demonstrate diplomacy and tact at all times
- Proficient in Microsoft Office Suite
- Self-motivated with the ability to work independently and proactively manage tasks
- Excellent team player with strong communication and relationship management skills
- Open-minded and adaptive to change in a dynamic environment
- Experience with Health & Safety coordination is a plus
- Background in Facilities Coordination/Management is an added advantage
