Role Overview:

We are seeking a dynamic and personable Receptionist to serve as the welcoming face of our office. In this diverse role, you will coordinate front desk activities, manage incoming communications, and provide essential administrative support to ensure our office operates efficiently. The ideal candidate will possess prior experience in a similar setting and demonstrate exceptional interpersonal skills, reliability, and professionalism.

Key Responsibilities:

  • Front Desk Coordination:
  • Manage the day-to-day operations of the reception area.
  • Serve as the primary point of contact for visitors, ensuring a warm and professional welcome.
  • Greet and assist colleagues and clients as needed ensuring visitor sign in procedure is maintained.
  • Administrative Support:
  • Provide general administrative assistance to team members across various departments (HR, IT, EAs).
  • Oversee general mail management, including sorting post and organizing courier bookings.
  • Monitor and order office supplies, ensuring adequate stock levels.
  • Report on office attendance, ensuring data is complete and accurate
  • Facilities Management:
  • Support the Senior Facilities Lead in managing office facilities.
  • Assist with the organization of onsite lockers and keyholding responsibilities.
  • Event Management and Support:
  • Coordinate logistics for internal and client-facing events, including event bookings and diary management.
  • Work closely with event organizers to understand their needs and suggest appropriate meeting setups.
  • Address potential scheduling conflicts by providing alternative solutions or arrangements.
  • Maintain a comprehensive understanding of available venues and supplies, including preferred vendors for food and beverages, to support event planning.
  • Assist with AV setup and other logistical aspects to ensure seamless event execution.
  • Act as a liaison between stakeholders and vendors to facilitate effective communication and support during events.
  • Health and Safety Compliance:
  • Ensure a safe and compliant workplace by adhering to established processes and addressing any gaps.
  • Escalate issues for resolution as necessary.
  • Stakeholder Engagement:
  • Build and maintain strong professional relationships with key stakeholders.
  • Provide logistical support for internal and client-facing events.
  • Communication Management:
  • Maintain the reception email inbox and ensure timely responses.
  • Provide regular updates on communication channels for office events and initiatives.

Experience

  • Experience in Reception / Administrative Role
  • Fire Marshal / First Aid Training (desirable, training can be provided)
  • Intermediate knowledge of Office 365 (Microsoft Outlook, Word, Excel)
  • Confident and clear communication style. Comfortable communicating with all colleagues at all levels within your area
  • Proactive and highly organised with the ability to plan and multi-task
  • Work well under pressure and ability to use own initiative
  • Creative problem-solver with a proactive approach to service improvement.
  • Flexible and adaptable approach to work
  • Good verbal and written English work
