Position Summary and Responsibilities:

Reporting to the Head of Site Services, this role forms an integral part of the Site Services team within the Site Operations department. Site Services are responsible for all the soft facilities support services across the Chelmsford site including reception, cleaning, catering, administration, and the facilities helpdesk.

Reception is the first point of contact for all on site visitors and customers, as well as providing invaluable administrative and communication support to internal customers, and we are currently looking for an experienced and proactive Receptionist & Administrative Assistant to join the team.

The Receptionist & Administrative Assistant responsibilities will include:

  • Ensure security checks are completed and that the booking-in of visitors is undertaken via the online visitors booking system.
  • Welcome visitors and customers to site, in a polite and professional manner, notifying hosts upon arrival, issuing visitor badges, and maintaining security by following procedures.
  • Answer and screen all external calls to the business via the company switchboard in a professional, timely manner and direct to the relevant department.
  • Completing regular housekeeping checks throughout the executive conference rooms to deliver a seamless meeting room experience to all internal and external users.
  • Management of the reception email mailbox and triage all requests and administrative duties.
  • Issuing the weekly visitor report to key site leads.
  • Coordination of meeting room bookings and hospitality requests for external and customer meetings.
  • Assisting internal communications with the circulation of internal emails and announcements, the coordination of printed materials and the setting up of internal event bookings.
  • Assist with routine office duties such as stationery procurement, scanning, accepting daily post deliveries and database management.

Skills & Experience Essential Qualifications:

  • Demonstrable experience working as a receptionist for a medium/large organisation.
  • Excellent spoken and written communication skills.
  • Organisational skills.
  • Customer focused approach.
  • Flexible, resilient with a ‘can-do’ attitude with willingness to go above and beyond where required.
  • Computer literate, preferably with experience of Microsoft Office software including Outlook and PowerPoint.
  • Working as part of a team as well as on own initiative.
