Pay Range
$87,450 – $108,564 Annually
This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the salary range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
Job Description
We have an opening for a Records & Information Management Specialist to support the Laboratory’s Records and Information Management (RIM) program. You will assist in developing knowledge management articles, facilitating institutional records inventory assessments and supporting Freedom of Information Act (FOIA), litigation holds, moratoriums and other requests for information. Support further development of the Essential Records Program and institutional file plan. This position is in the Records & Information Management Group within the Technical Information Department.
This position offers a hybrid schedule, blending in-person and virtual presence. You will have the flexibility to work from home one or more days per week.
You will
- Support digitization efforts outlined in Office of Management and Budget (OMB) and National Archives and Records Administration (NARA) joint Memorandum M-19-21 and M-23-07 in compliance with all records management laws and regulations to transition to an electronic environment.
- Participate in the review and update of Laboratory policies, processes, and procedures to support DOE and the National Archives and Records Administration (NARA) regulatory and contractual requirements and guidelines.
- Support institutional internal and external records and information program assessments.
- Prepare updates for the records and information management program website.
- Assist with the development of staff records and information management training, standard operating procedures (SOP), process improvements, and frequently asked questions (FAQs); may assist with leading RIM training sessions.
- Collaborate with business organizations to help develop the institutional RIM Program and assist business working groups with defining and documenting requirements for RIM technology implementations.
- Assist in the implementation of electronic records retention schedules, review and release information management, document management and enterprise-level records and information management systems.
- Triage customer records and information management requests.
- Perform other duties as required.
Qualifications
- Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
- Associate’s degree in relevant subject or equivalent combination of education and related experience in Records and Information Management.
- Experience interpreting and applying intermediate and contemporary knowledge of records and information management principles, best practices, regulations, policies, and practices.
- Effective problem-solving and decision-making skills related to records and information management guidelines, procedures, issues, and/or project parameters.
- Experience interpreting and applying records and information management regulatory requirements, practices, and procedures.
- Experience using automated business tools/technologies and specialized applications, such as MS Office 365 and SharePoint and may include, Confluence, ARCIS, E-Link, DocuSign, Microsoft Power BI, Virgo, Zasio and ServiceNow.
- Strong verbal, written, presentation, and interpersonal communication skills necessary to interact effectively with all levels of Laboratory personnel.
- Organizational skills with experience prioritizing multiple tasks in a dynamic work environment under time constraints while ensuring attention to detail, accuracy, and efficiency.
- Experience utilizing complex databases for tracking and reporting.
Qualifications We Desire
- Certified Information Professional (CIP), information governance or other records and information management industry professional license or credential.

Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance. If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.
Pre-Employment Drug Test
External applicant(s) selected for this position must pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.

Per the Department of Energy (DOE), Lawrence Livermore National Laboratory must meet certain restrictions with the use and/or possession of mobile devices in Limited Areas. Depending on your job duties, you may be required to work in a Limited Area where you are not permitted to have a personal and/or laboratory mobile device in your possession. This includes, but not limited to cell phones, tablets, fitness devices, wireless headphones, and other Bluetooth/wireless enabled devices.
If you use a medical device, which pairs with a mobile device, you must still follow the rules concerning the mobile device in individual sections within Limited Areas. Sensitive Compartmented Information Facilities require separate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
