We are seeking a skilled and dynamic Medical Communications Project Manager to join our centralised Project Management team. This is an exciting opportunity to contribute to medical communications projects for pharmaceutical and life sciences clients while helping to refine processes and approaches within our established project management standards and systems.

Responsibilities
As this is a newly created position, you will play a pivotal role in shaping and enhancing strategies for managing client accounts and projects. In this role, you will collaborate closely with clients, business development, legal, finance, and Medical Communications teams to oversee budgets, scope, timelines, billing, contracts, communication, quality review processes, and staffing.
What You’ll Do:
Day-to-day Management of Accounts:
- Oversee assigned client accounts, ensuring projects run according to established timelines, budgets, and deliverables.
- Develop and manage overall client budgets, establish clear communication plans, and identify opportunities to meet client needs while developing publication plans.
Client Relationship Management
- Serve as a primary point of contact for clients, building and maintaining strong relationships.
- Lead regular client updates, ensuring seamless communication on project status, milestones, and upcoming deliverables.
Project Execution & Financial Oversight
- Track project progress, ensuring timely delivery and managing any changes in scope or resources to avoid delays or cost overruns.
- Respond to client requests for budget estimates and lead proposal development or direct the SOW/PO process as appropriate.
Cross-Functional Collaboration
- Work closely with internal teams, including business development, legal, finance, and Medical Communications, to ensure smooth project execution and alignment on client objectives.
- Coordinate with external agencies and vendors as needed to ensure all project components are delivered on time and to a high standard.
Resource Management & Staff Allocation
- Identify resource needs for each project and collaborate with Medical Communications managers to ensure adequate staffing.
- Ensure proper resource allocation to meet client requirements, helping to manage capacity and workflow across the team.
Quality Assurance
- Oversee quality assurance processes, including scheduling and managing review cycles, and ensuring all project deliverables meet company and client quality standards before release.
Risk Management & Issue Resolution
- Identify potential risks to project timelines, budgets, or scope and develop mitigation strategies to address them proactively.
- Work with teams to resolve any issues that arise during the project lifecycle.
Business Development & Growth
- Contribute to the growth of existing accounts by identifying new business opportunities and areas of expansion.
- Prepare proposals and pitch for new projects, supporting account expansion efforts.
Reporting & Documentation
- Prepare regular status reports, contact reports, and presentations for both clients and internal teams.
- Support project review processes by compiling and analysing project data for reporting and decision-making.
Qualifications
Minimum Qualifications:
- A bachelor’s degree and 3 years of experience, or equivalent combination of supporting, managing, or leading scientific research projects and accounts, preferably within a Medical Communications agency.
- Experience communicating with executive-level stakeholders and clients including developing agendas, minutes and actions, and moderating meetings and presentations.
- Expertise in developing project management plans, including developing timelines, flowcharts, workplans, and tracking tools using common software (e.g. Excel, SmartSheet, Visio, Microsoft Project, or other PM software)
- Experience in resource planning, budgeting, and managing project financials (SOWs, forecasts, etc.).
- Experience or education in fields related to health economics, outcomes, and market access within the pharmaceutical or life science industry.
- Experience in publishing, including submitting manuscripts, abstracts, and posters to journals and conferences.
- Experience with publications systems, e.g. iEnvision
- Expertise in managing multiple projects simultaneously while maintaining high standards of quality and attention to detail.
Preferred Qualifications:
- Proven ability to develop and champion new approaches to project management and client service
- Experience using an enterprise management software system such as Deltek Vision or Oracle’s Cloud ERP (Enterprise Resource Planning) and EPM (Enterprise Performance Management)
- Project Management certification, such as PMP, APM-PMQ, or PRINCE2
