We seek a smart, organized, and tech-savvy Executive Assistant to support a busy entrepreneur in e-commerce and real estate ventures. This role requires exceptional communication skills, multitasking abilities, and attention to detail. You’ll play a pivotal role in managing daily operations, calendars, and family-related responsibilities.Key Responsibilities:

  • Manage and respond to emails; organize and file correspondence.
  • Oversee full calendar management, ensuring all meetings, deadlines, and events are coordinated.
  • Conduct daily check-ins (30-60 min) to review ongoing tasks, emails, and calendar updates.
  • Perform research for business and personal needs.
  • Ensure timely payment of invoices, mortgages, and bills.
  • Coordinate family appointments and align schedules with spouse.
  • Prepare and organize bookkeeping statements for accounting.
  • Book flights and accommodations, utilizing points and travel rewards systems.
  • Make reservations and manage travel arrangements.
  • Provide problem-solving and support for various ad-hoc tasks.
  • Handle Vendor Communication: Coordinate with vendors or service providers for real estate properties or e-commerce operations.

Qualifications:

  • Native or Fluent English speaker.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Experience in travel planning, financial coordination, and calendar management.
  • Tech-savvy and comfortable with email and task management tools.
  • Proactive, self-starter capable of managing responsibilities independently.
  • Discretion and Confidentiality: Proven ability to handle sensitive business and personal information with care.
  • Project Management Skills: Experience managing multiple overlapping projects with changing priorities.
  • Time Zone Flexibility: Availability to adjust working hours for critical meetings or urgent tasks.
  • Interest in Learning: Enthusiasm to understand real estate, e-commerce, or other business ventures.
