DIVISION DESCRIPTION:

The City of Boca Raton is celebrating its 100th year in 2025 and is looking to employ an enthusiastic and driven Intern to assist our Special Project Centennial Team with related projects and tasks that include administration, planning, and event assistance. 

This Special Project Intern’s responsibilities but are not limited to contributing to the development of various procedures, communications, tracking processes, work on special projects, event coordination, and on-site event assistance.

In this role you will gain hands on experience and visibility to multiple areas of City operations including communication, event coordination, and what it takes to bring a major project together.

Essential Functions

  • Create tracking process for Centennial-related projects and documents and maintain records
  • Monitor Centennial general e-mail inbox, reply or forward to appropriate person for resolution and/or follow up
  • Respond to Centennial-related phone calls, or forward to appropriate person for resolution and/or follow up
  • Organize event files and coordinate services
  • Organize and manage Centennial-related digital photo and video library
  • Assist with administrative tasks such as filing, copying and scanning
  • Attend night and weekend events as needed
  • Seek direction from supervisors before proceeding with any unassigned activities or communications with the public
  • Assist in monitoring Centennial-related social media
  • Assist in coordination, planning, set up, organization and break down of events
  • Assist with taking photos and videos for specific projects
  • Prepare edits to photos and videos
  • Interview people throughout the city at predetermined events and locations as part of capturing the storytelling throughout the Centennial year

Knowledge, Skills and Abilities

Knowledge of:

  • Standard office practices and procedures.
  • Business English usage and spelling.

Skilled in:

  • Use of a variety of Microsoft Office Suite products to include Word, Excel, and Outlook, and adaptable to learning other software as needed.
  • Basic photo and video editing
  • Critical thinking – using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.

Ability to:

  • Work a flexible work schedule that includes weekdays, weekends and evenings for events as needed.
  • Demonstrate strong written and verbal communication skills.
  • Establish and maintain effective working relationships with City officials, supervisors, associates, and the general public.
  • Understand and follow oral and written instructions.
  • File accurately.
  • Type accurately.
  • Work independently without continuous direction or instruction.
  • Multi-task.
  • Conduct themselves in a professional manner.
  • Work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
  • Use basic recording equipment

Minimum and Preferred Qualifications

Program Term:

Internships will have a prescribed beginning and end date but may be extended at the discretion of the Human Resources Director or designee. Program length will depend on the Division’s budget, needs, and staff levels.

The internship is for one calendar year:

  • Spring 2025
  • Summer 2025
  • Fall 2025

Available Positions:

The City Manager’s Office will be hosting two (2) interns during the fiscal year.

Minimum and Preferred Qualifications

In addition to the general eligibility requirements, candidates seeking to be considered for an internship must meet or comply with the following qualifications and requirements:

  • Completion of 2 full academic years of post-high school study or associate degree AND
  • Currently enrolled in an accredited college or university in pursuit of a bachelor’s degree
  • Availability to work a minimum of 12 hours per week not to exceed a maximum of 25 hours per week.
  • Office work hours are flexible and will be scheduled Monday through Friday, 8am to 5pm.
  • Event work hours will be fixed based on event dates and times and may occur outside of normal business hours or on weekends.
  • Strong organizational skills.
  • Analytical and problem-solving skills for daily task completion.
  • Strong attention to detail.
  • Possession of a valid State of Florida Class “E” driver’s license.

Requirements (to be submitted with application):

  • Unofficial transcript from state accredited college or university in which you are currently enrolled

CITY OF BOCA RATON – BENEFITS SUMMARY

Part-Time Employees

ELIGIBILITY REQUIREMENTS: To be eligible to receive Paid Leave and to contribute to the 457 Deferred Compensation Plan, a part-time employee must have worked at least 1,040 hours in the prior fiscal year

PAID LEAVE: Employees who work a minimum of 1,040 hours per fiscal year will receive twelve (12) hours of Paid Leave on October 1st. This Paid Leave shall be used no later than September 30th of that fiscal year or it will be forfeited. These hours may not accumulate and may only be granted with the approval of the employee’s supervisor. This paid leave has no cash value at separation of employment.

MISSION SQUARE 457 DEFERRED COMPENSATION PLAN: Employees who work a minimum of 1,040 hours per fiscal year will be allowed to participate in the 457 Deferred Compensation Plan. The City will not provide any matching funds.
