Job Title: Student Accounts Specialist

Reports To: Director of Student Accounts & Data Privacy Officer

Schedule: Full Time. Non-Exempt. Monday–Friday; 9am – 5pm, onsite

Salary: $45,000-$48,665 per year

POSITION OVERVIEW:

Under the supervision of the Director of Student Accounts and Data Privacy Officer (DPO) with a dotted line to the Associate Director, the Student Accounts Specialist will support the School of Visual Arts (SVA) – Office of Student Accounts with daily activities and functions related to cash receipt posting, data entry, and all customer service-related duties involved in assisting our students and parents.

DUTIES AND RESPONSIBILITIES:

  • Provide customer service by phone, email, and in person.
  • Cash processing of checks, money orders, credit cards, lockbox payments, wires, and chargebacks.
  • Post enrollment fees, housing placement fees, and fines.
  • Responsible for the schedule hold process and clearing department holds.
  • Responsible for the monthly desktop deposit reconciliation and issuing reports.
  • Provide support with the uncashed check process.
  • Assist with collections and special payment plans.
  • Data entry of all documents/forms and follow-up.
  • Process the financial aid transmittals for SVA awards.
  • Process office orders.
  • Assist with term or code corrections for cash postings.
  • Update all forms on a yearly basis, as needed. i.e.: Estimated Worksheets, Lab Fees, Accepted Students Day forms and directories. Assist with updating tuition and fees on all written resources yearly.
  • Assist with annual 1098 T processing.
  • Assist the Director and Associate Director on assigned special projects as needed.
  • Other job-related duties as assigned.

SUPERVISORY RESPONSIBILITIES:

  • None.

MINIMUM QUALIFICATIONS:

  • Associate degree
  • 1 year of experience with electronic cash processing.

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree preferred.
  • Knowledge of the Colleague database systems.
  • Computer skill proficiency in MS Suite (Word, Excel, PowerPoint) and Google Suite.

  • None

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Excellent math and computer skills
  • Skill in effective verbal and written communication.
  • Skill in data analysis and problem solving.
  • Skill in handling multiple tasks and prioritizing.
  • Skill in planning and organizing.
  • Ability to take care of and effectively operate personal computers and related equipment provided by problem-solving the university.
  • Ability to provide exceptional customer service.

PHYSICAL REQUIREMENTS OR WORKING CONDITIONS:

  • Works in an office environment.
  • Willingness to work outside designated office hours as needed for events or departmental needs.
  • Work hours may include after-hours, holidays, and weekend work.
  • Ability to work with frequent interruptions and changes in priorities.
  • Ability to resolve problems or situations requiring the exercise of good judgment.
  • Ability to establish and maintain good working relationships with other employees and with students.
  • Able to lift a minimum up to 25lbs.
