We are looking for an experienced and detail-oriented administrator to work within the student cases team within Cardiff Business School. This team provides comprehensive professional administrative support to teaching and students in the Business School for the management of student cases and engagement, including the timely progression and resolution of academic misconduct, academic appeals, student disciplinary matters, student complaints and Office of the Independent Adjudicator (OIA) requests.Working under the direction of the Student Cases and Engagement Officer, the Student Cases and Engagement Administrator will also support the coordination and administration of the monitoring of student engagement, progress applications for students’ Extenuating Circumstance requests and support relevant School Committees and Boards, including School Extenuating Circumstance Groups.This post is full-time (35 hours per week), advertised on a fixed term basis until 31 July 2025.Salary: £27,344 – £30,505 per annum (Grade 4).Date advert posted: Monday, 25 November 2024Closing date: Thursday, 12 December 2024Cardiff University is committed to supporting and promoting equality and diversity and to creating an inclusive working environment.   • Provide detailed advice and guidance on student administrative process and procedure (in particular, the area of student support) to internal and external customers, using judgement and creativity to suggest the most appropriate course of action and where appropriate, contributing to the resolution of more complex issues.
  • Collaborate with others in order to make recommendations for developments of established processes and procedures.
  • Establish working relationships with key contacts to help improve service levels, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required.
  • Undertake a variety of administrative duties to support the team and School, such as:

o Co-ordinate extenuating circumstances arrangements for UG and PG students.
o Co-ordinate the appeals process for UG and PG students.
o Co-ordinate the Unfair Practice Process for UG and PG students.
o Co-ordinate the student disciplinary and complaints process.
o Co-ordinate the School Engagement and Academic Progress process for UG and PG Students.

  • Gather and analyse data to inform decisions, establishing basic trends and patterns in data (e.g. student progress, attendance, unfair practice) and creating reports as appropriate.
  • Instruct and guide other employees across the University within extenuating circumstances, student cases and student monitoring as required.
  • To coordinate processes, adjustments and support required for students with disability.
  • To act as Secretary or provide support to School Committees/Boards/meetings as required, including:

o Scheduling meetings, booking rooms, publishing details to internal and external members.
o Preparation of agendas and standard documentation.
o Maintaining and updating details of internal and external membership of Committees and Boards.
o Minuting meetings and Boards, preparing agenda, minutes and other papers for approval and circulation.General Duties

Substantial experience of working in an administrative role or office environment, with a high level of interaction with users of a service and an emphasis on customer service.
2. Ability to gain specialist knowledge in administrative processes and regulations relating to extenuating circumstances, student cases and monitoring.
3. Ability to set up standard office systems and procedures and make improvements as appropriate.
4. Ability to communicate specialist and complex information effectively and professionally and provide detailed advice and guidance on area of work to a range of customers with varying levels of understanding.
5. Proven ability to advise and influence key stakeholders in your area of work.
6. Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered.
7. Evidence of ability to solve problems using initiative and creativity; identify and propose practical solutions and to resolve problems where there are a range of potential options available.
8. Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work.Desirable Criteria1. Experience of working in a similar role or environment e.g. Higher Education.
2. Specialist knowledge of extenuating circumstances, student cases and student monitoring.
3. Ability to use MS Access to produce queries and reports.
4. Ability to speak/understand Welsh or a willingness to learn.
