Job Summary:

The Corporate Talent Acquisition Coordinator role is essential in supporting recruiting and onboarding efforts within the Talent & Culture Team. Reporting to the Sr. Manager, Employee Solutions, this position handles end-to-end tasks across Talent Acquisition (TA) and onboarding while also supporting broader initiatives. The coordinator will serve as a point of contact for onboarding support and act as a resource for recruiting operations, ensuring a seamless experience for candidates, new hires, and internal stakeholders.

Essential Duties/Responsibilities:

Recruiting Support:

• Collaborate with Talent Business Partners, Hiring Managers, and Recruiter to ensure accurate job requisition creation, updates, and tracking. Conduct regular audits of open requisitions and follow up on pending approvals as necessary.
• Maintain and update job data within the HRIS system, including position creation, updates, or deactivation.
• Coordinate and schedule interviews between candidates and hiring managers, ensuring a smooth experience for all parties. Coordinate candidate travel and reimbursements as needed.
• Partner with TA managers to ensure consistent and compliant recruitment processes.
• Coordinate seasonal TA Internship programs.

Onboarding Support:

• Initiate and monitor onboarding paperwork and pre-employment assessments, and follow up on completions status with candidate, recruiter, and hiring manager.
• Facilitate onboarding communications and provide guidance to new hires to ensure a world-class onboarding experience for both new employees and hiring managers.
• Assist with day-one onboarding tasks, such as guiding new hires to orientation, verifying I-9 documentation, and tracking new hire orientation attendance.
• Collaborate with cross-functional teams to ensure new hires are set up for success from their first day, aligning resources and providing necessary support.

Operational Support:

• Identify and address any issues within recruitment and onboarding activities, continuously seeking opportunities for process improvements.
• Participate in and provide support for special projects within the Talent & Culture Team as needed, including M&A and other strategic initiatives.
• Act as a super-user for our ATS, updating candidate records, tracking activities, and providing training to recruiters and coordinators.
• Develop and maintain training materials for ATS use and offer on-the-job support for team members learning the system.
• Build and maintain strong relationships with candidates, the Talent Acquisition team, and business partners to foster a positive, collaborative work environment.
• Manage shared team inboxes, calendars, and ticketing system, flexibly supporting other team members in Employee Solutions as needed.

Working Conditions:

• This is a hybrid position (M, T, Th in office) based out of Houston, Texas.
• Minimal travel required, only as needed for business or project requirements.
• Willingness to occasionally work outside of normal business hours to support special projects.

Minimum Requirements:

• High School Diploma or GED equivalent.
• 1-2 years of experience in an administrative, coordinator, or auxiliary function.
• Proficiency in Microsoft Office, particularly in Excel, Outlook, and Teams.

Preferred Qualifications:

• Experience with Airtable or other database management tools.
• Experience managing multiple calendars and scheduling events.
• Broad understanding of recruiting and onboarding processes and best practices.
• Familiarity with SuccessFactors or a similar HRIS system.
• Proven experience in providing exceptional customer service, with a focus on creating a positive experience for candidates and new hires.

• Excellent written and verbal communication skills with high attention to detail and data accuracy.
• Ability to set priorities and manage competing demands from multiple sources on short notice.
• Capacity to work both independently and collaboratively, demonstrating strong teamwork and interpersonal skills.
• Ability to work effectively with all levels of the organization, from front-line employees to senior leadership.

Physical Requirements:

• Work is primarily sedentary, involving desk work at a computer.
• Rarely requires lifting beyond what is necessary to perform routine duties.
