To provide the Talent Development team with effective and on time clerical and day to day administrative support for managers, employees and coordinate all daily administrative activities, effectively supporting delivery of the overall objectives of the service area. To provide data analysis, system administration updates, reporting, written preparation and communication support.
What you’ll do:
The key deliverables of this role are as follows:
- Be the first point of contact for enquires and/or queries relating to Learning and Development
- Ownership of administration, communication and system support for Learning and Development
- Budgeting, forecasting and tracking activity spend
- Reporting on attendance and evaluation of activities, based on organisational skills gaps and need
Responsibilities
The responsibilities for this role include:
- Providing full administrative support for core training offers, ensuring that courses and e-learning are arranged, promoted, joining instructions issued and records completed to support business learning needs
- Administration of internal HR and learning management system (Odyssey) to effectively manage courses and performance, including generating effective reports
- Leading on the arrangements of virtual and in person training and onboarding events, from management development to Early Careers induction
- Provide admin and co-ordination support to Line Managers in the delivery of people and performance management programmes
- Building effective relationships with internal and external partners and customers, including programme managers, HR colleagues, training providers and venues
- Evaluating and refining activities and programmes in line with best practice and through co-ordinating formal feedback mechanisms
- Processing and tracking invoices and re-charges to ensure financial information is up to date and reportable
- Coordinating the managed service provision, managing the relationship, monitoring use and dealing with queries
- Investigating and resolving Learning and Development escalated queries via the HR Service Desk, in line with service level agreements
- Support and coordinate communications of documents, weekly/monthly updates and internal communications requirements
- Collaboration with other areas to effectively delivery administration support, i.e. HR business partners, HR shared services, wider learning leads and Internal Comms
- Undertaking projects – for example setting up or re-designing new programmes and assisting the HR team in business projects
Key Requirements:
- Being able to effectively multi-task
- Ability to understand and manage priorities
- Computer literate, competent in Microsoft Office tools including Word, Excel and other systems
- Demonstrable administrative service delivery
- Expert oral and written communications skills
- Previous experienced at preparing data reports, presentations, and written documentation
- Delivery to time sensitive experience
- Eye for detail and data accuracy
- Driven by delivering excellent services
- Promotes collaboration and willingness to take ownership
- Demonstrates active support for change initiatives
- Able to provide excellent customer service and add value to our solutions
- Experience of undertaking multiple workstreams
- Commercially minded to ensure return on investment for learning initiatives
- Able to build and maintain key relationships
