About usThe Department of Mathematics at UCL is an internationally renowned department within one of the world’s most prestigious universities. Since its beginning, mathematics at UCL has been enhanced by its many outstanding members of staff. Indeed, two of its students (and later staff) Professor Klaus Roth (1958) and Professor Alan Baker (1970) have gone on to win the Fields Medal. Another former member of staff, Professor Tim Gowers, won the Fields Medal in 1998 for work he did whilst at UCL. Since 2014 the department has grown considerably with academic staff increasing by 60%. There are now 76 academic members of staff, of whom 13 are teaching specialists and 35 are full professors. The department has 23 Postdoctoral Research Fellows, around 85 PhD students and 40 MSc students. The broad range of research interests is reflected in the large choice of courses available in the third and fourth years of the degree programmes, from spectral theory, groups and geometry to fluid mechanics and from mathematical ideas in biology to cosmology. Research funding in the department, including from EPSRC, ERC, NERC and the Leverhulme Trust, has grown significantly in recent years, more than doubling since 2014. The department has internationally recognised research groups in pure and applied analysis; fluid mechanics; mathematical physics; geometry and topology; algebra, number theory and combinatorics; mathematical modelling in biology, finance, industry and society.There are regular departmental seminar series in financial mathematics and applied mathematics, as well as seminar series joint with other London universities in number theory, geometry and analysis. There are regular London-Paris meetings in analysis and number theory and a London-Brussels meeting in geometry. The department hosts an annual meeting in the dynamics of rotating fluids. The department has two Fellowship schemes: the Clifford Research Fellowship (inaugurated in 2014, currently advertising in applied mathematics) and the IMSS Senior Research Fellowships (six researchers in post across our department and the Department of Statistical Science). These are aimed at attracting outstanding early-career fellows to UCL for a period of 3 years.The department, together with King’s College London and Imperial College London has been running the London School of Geometry and Number Theory (LSGNT), an EPSRC-funded Centre for Doctoral Training, since October 2014. The LSGNT is made up of about 40 mathematicians across the three Universities, with interests in different aspects of number theory, geometry and topology. The research training offered by the LSGNT differs from a traditional UK PhD in pure mathematics in a number of respects and will be closer to the US graduate school model with a broad mathematical training given in first year, with an emphasis on topics in geometry and number theory. There will be an ethos of working and learning together in a friendly and supportive environment. The collaborative spirit established in the first year will be maintained by a number of mechanisms including cross-College supervision teams, junior seminars and other working groups, and other activities such as a new LSGNT colloquium, an annual retreat and an annual conference.About the roleProvide specialist administration to the designated teaching programmes, ensuring effective procedures are documented and adopted for all aspects of its administration. Assist in achieving a high quality and timely service to current and prospective students and staff relating to the designated courses/programmes and beyond. Provide support for all matters relating to students’ teaching and learning activities from enquiry to completion, incorporating supporting committees and processes relating to assessment, student, and course records.Course/Programme Administration

  • Deal with enquiries by telephone, email, letter and in person relating to entry requirements and enrolment etc. Deal with telephone, email, letter and in-person enquiries relating to entry requirements, enrolment, etc.
  • As required, assist in recruitment initiatives and publicity, including coordinating Open Day events and interviews.
  • Coordinate start of session arrangements; registration of new students; collate welcome packs, safety information, timetables, and other necessary documentation.
  • Liaise with the Head of the Department and provide Administration for the Departmental Workload Model for Academic Staff.
  • Responsible for Induction planning, journey, and processes for all UG students in years 1-4
  • Work with the teaching programmes administrator/departmental administrator/academic programme director to set up induction week(s).
  • Work with the teaching programmes administrator/departmental administrator/academic programme director to create and manage the departmental timetable for all designated taught courses, including managing room bookings and liaison with UCL staff in implementing the common college timetable.
  • Allocate students to courses/programmes/tutorials/projects/placements, etc., following timetable structure and uploading information on Portico.
  • Process and coordinate teaching materials, such as course outlines, study packs, and assignments, necessitating liaison with teaching staff and students.
  • Update and brief academic/teaching staff on student application procedures, course/programme procedures, and regulations.
  • Liaise with relevant offices elsewhere in UCL, particularly the UCL Admissions Office, Student Registry Services, Student Support and Wellbeing.
  • Responsible for uploading and maintaining course/programme content on Moodle.
  • Work with appropriate departmental colleagues and the Faculty Communications and Marketing Team to ensure that the entries in the UCL prospectus, advertising materials, programme handbook and web pages relating to designated course/programme matters are accurate and current.
  • Create and distribute registers/attendance lists to academic/teaching staff as appropriate.

Qualifications, experience, and knowledge

  • Minimum of 5 GCSEs at Grade C or above (Including Mathematics and English Language or equivalent or having acquired relevant experience.
  • Administrative work in a busy office environment.
  • Experience in administration in higher/further education or a teaching and learning environment
  • Experience in course/programme administration or similar
  • Familiarity with online learning environments Application/Interview

  • Computer literate, including Word, Excel, Outlook, shared online documents, video conferencing systems, email, and internet, must include databases, spreadsheets, word processing, electronic file management, email, and e-calendars. Application/Interview/ Practical Test
