As the Team Assistant, you will play a vital role in ensuring the efficient operation of the Building Consultancy Division. Working closely with the Office Manager you will provide top-tier administrative support, managing everything from document organisation to client inquiries. Your attention to detail, strong communication skills, and proactive approach will be key to keeping the team running smoothly.Key Responsibilities

  • Document Management: Organise, produce, and maintain documents, ensuring accuracy, accessibility, and confidentiality.
  • Client Support: Manage client inquiries, providing exceptional customer service and promptly resolving issues.
  • Financial Administration: Assist with accounting tasks such as processing invoices, expenses, and reconciling receipts.
  • Audio/Copy Typing: Provide accurate audio and copy typing support for reports and documentation.
  • Database Maintenance: Input and manage accurate records in databases and spreadsheets.
  • Diary & Meeting Coordination: Manage diaries, arrange meetings, and organise travel and accommodation for the team.
  • Special Projects: Assist with special assignments, showcasing flexibility and adaptability in a fast-paced environment.
  • Phone Handling: Handle incoming calls professionally, ensuring a high level of service.
  • Travel Arrangements: Manage travel bookings, including trains and accommodation.
  • Team Collaboration: Work closely with the Office Manager and other team assistants, providing cover for holidays and sickness when necessary.
  • Reception Duties: Welcome and greet visitors, ensuring a positive first impression.

Person Specification

  • Essential: Previous administration experience.
  • Strong attention to detail with excellent organisational skills.
  • Ability to multitask effectively in a dynamic environment.
  • Customer-focused mindset with a ‘can-do’ attitude.
  • Excellent interpersonal and communication skills, both written and verbal.
  • High proficiency in Microsoft Office and Adobe Pro packages.
