THE ROLE

The Team Assistant will provide comprehensive administrative assistance to the StoryWorks Programme Partnerships team. The role will be responsible for a broad range of administrative tasks and will support the sales and production functions with the handling and direction of queries, coordinating with clients and suppliers, acting as the first point of contact for the team, coordination of projects, travel, events and team-wide activities.

Responsibilities 

Finance Administration 

  • Oversee and monitor the processing of purchase orders and department financial documentation and requests for information.
  • Update and maintain accurate financial records within the CRM system, specifically Salesforce.
  • Manage and process diverse types of payments and financial transactions.
  • Perform credit assessments and liaise with BBC Finance to ensure smooth transactions with customers and suppliers.
  • Administer electronic agreements, ensuring the proper execution of document signatures.
  • Regularly update the status of financial opportunities across various company systems, including SAP.

Team Administration 

  • Provide comprehensive administrative and operational assistance to team, which includes development, commercial, production and marketing units, using discretion to identify and resolve first line issues, referring to supervisor/manager for assistance as necessary.
  • Organise key team meetings including coordination, diary and facilities management, distribution of agendas and supporting documents.
  • Make routine arrangements and bookings, according to clearly defined instructions.
  • Maintain, efficiently operate and improve a range of office processes and administrative systems including Monday.com, Salesforce, SAP and Microsoft Office to ensure the smooth running of the team.
  • Responsible for coordinating team IT requests, user administration, systems access and record keeping. Working with the Business Coordinator to ensure those who are joining, moving or leaving the department are equipped appropriately with the right IT.
  • Support internal communications and the development and implementation of employee and office wellbeing activities.

Client Administration 

  • Work closely with the Commercial team to ensure new and existing clients are configured and have access to required information and coordinating with clients to obtain information required to ensure system configuration is processed.
  • Ensure a smooth transition of the client between commercial, production and – liaising with Account Directors, Clients, Production Management and the Creative Production team as required.
  • Support team and client-facing event activations, alongside the Marketing team and Business Coordinator.

WHAT DOES IT TAKE

Key Criteria

  • Experience of providing sales administration assistance in at least one organisation.
  • Organised with ability to prioritise own workload effectively, to coordinate activities and conflicting demands to ensure that tight deadlines are met.
  • Effective communication skills with the ability to work well with range of people at all levels.
  • Ability to use own initiative with minimal supervision and deal with routine queries as they arise, escalating to others as necessary.
  • High attention to detail and concern for accuracy.

Desirable 

  • Experience using Monday.com
  • Relevant business administration qualification.
  • An entry-level finance or bookkeeping qualification.
  • Knowledge of financial tools such as SAP and Salesforce
  • Proficient computer skills with strong experience of office software packages (i.e. Word, Excel and PowerPoint.).

Salary: Up to £25,000 + London Weighting (£5,319) depending on relevant skills, knowledge and experience. The expected salary range for this role reflects internal benchmarking and external market insights.

Contract type: Permanent Role (we are open to considering this as either a full-time or part-time role, working no less than 4 days per week). 

Location: This is a hybrid role and the successful candidate will balance office working with home working. Office Base is London, Television Centre.
