Job Description

Office Support Administrator

TEMPORARY – ongoing 

Peterborough 

We are looking for Office assistant/administrator based from our Peterborough office, working with the Facilities Manager and EHS Lead on site along with other key employees. 

Your role will include front of house duties, conference room bookings, reception duties to include greeting visitors and maintaining the reception facilities.

You will also support FM and EHS lead with administrative duties and organisation. 

Responsibilities

  • Maintaining reception area, greeting visitors and ensuring signing in/out procedures are followed
  • Set up TV screens for VIP visits and support team for VIP visitors 
  • Preparing outgoing mail including couriers
  • Maintenance and room bookings/lunch process/refreshments 
  • Site documentation, including updating noticeboards, maintaining fire and induction spreadsheets
  • Attendance at EHS meetings and to take minutes and support the EHS Lead
  • Managing databases, composing correspondence and creating spreadsheets
  • Maintaining the office filing system (electronic/paper) for FM and EHS Lead 
  • Organising and co-ordinating meetings, calendar bookings for visitors to site
  • Assisting in organisation and preparation of Company functions and meetings 
  • Liaising with external maintenance providers to arrange repairs 
  • Support and contribute to the on site EHS activities 
  • Support and contribute to the site Quality Process and documentation preparation
  • Carrying out general administrative duties as required 
  • Responsible for office equipment, maintenance and ordering supplies 
  • Raising Purchase orders, good receipt and invoice approvals 

Qualifications

Our ideal candidate will:

  • Have excellent organisation and administrative skills and ability to prioritise their workload
  • Be computer literate and competent in the use Microsoft Office package and Google Suite
  • Have experience with SAP 
  • Bring previous experience in a business administration role within a professional office environment
  • Have excellent attention to detail and time management skills
  • Have excellent communication skills 
  • Be proactive with a willingness to learn new systems/processes
