Job summary

We are looking for an enthusiastic team member to provide administrative support to the Terms and Conditions of Service (TCoS) team. You will be responsible to Career Management Support through the TCoS Executive Officers for the efficient and effective administrative operations of the TCoS team and its associated tasks. 

This post offers the opportunity for some working from home once training is complete. However the expectation is that the successful candidate will attend the office a minimum of 2 days per week as approved by Line Management/Chain of Command and in accordance with Head Office guidance. 

This position is advertised at 37 hours per week. 

Job description

TCoS is a small team within Career Management Support. The team is primarily a processing hub, responsible for the administration of all TCoS processes associated with an individual’s service, ranging from promotions, contract changes, further service, future employability and exiting the Service. This is facilitated through extensive use of a database and Microsoft Office Suite applications.

You will be responsible for managing and administrating group mailboxes, effectively prioritising emails, processing requests that fall within your allocation and forwarding other requests to the relevant clerk.

This job description is a general outline of the role’s duties and responsibilities and may be amended as the team evolves. The post holder may be required to undertake other duties as required from time to time.

Understand and know how to navigate relevant policy and publications.

Be the point of contact for general queries within your allocated group mailbox.

Train for, develop an understanding of and carry out the tasks required for your TCoS role including:

  • Management and processing of promotion tasks including substantiations
  • Management and processing of re-engagement/change in commission task including offers, returns and withdrawals, re-mustering and Profession transfers
  • Management and processing of Early Terminations from Service including Voluntary Withdrawals, discipline and medical exits
  • Management and processing of Employment Review Boards (ERB) including monthly ERB updates
  • Management and processing Extension of Service (EoS) Boards
  • Understand the use of Scio in TCoS tasks including running rank review reports on Scio
  • Weekly maintenance checks on registers
  • Assisting with data cleansing projects
  • Assisting with correction tasks
  • Support other TCoS AOs in their role when required

Person specification

A key role within the team, you must be able to work successfully as a team member but also work on your own initiative and make decisions when required. You will be able to understand how your role affects the administration of your customers’ records and process information accurately within short timescales.

This role is suited to someone who is highly organised, confident in using IT and enjoys being part of a high performing and busy team.

Where business needs allow, some roles may be suitable for a combination of office and home-based working. This is a non-contractual arrangement where all office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD office, will also count towards this level of attendance. The post does not offer relocation expenses. 

External recruits who join the MOD who are new to the Civil Service will be subject to a six-month probation period.
