JOB DESCRIPTION

Background:

The UN Women Kazakhstan Country Office, based in Astana, implements programmes and initiatives that advance gender equality and women’s empowerment in close partnership with the Government, civil society, UN agencies, and development partners. Reliable transportation in this regard is critical for timely delivery of programme and operational activities, including participation in meetings, workshops, and field missions.

Reporting to the Operations Analyst, Driver shall perform duties of driving services to the UN Women Country Office, ensuring the highest standards of discretion and integrity, sense of responsibility, and excellent knowledge of operations, protocol and security issues. Driver shall also demonstrate a client-oriented approach, courtesy, confidentiality, tact and ability to work with people of different national and cultural backgrounds.

  1. Provide reliable and secure driving services:

  • Drive office vehicle for the transport of authorized personnel;
  • Deliver and collect mail, documents and other items to Government – offices/Embassies/commercial establishments/UN offices;
  • Meet official personnel and visitors at the airport, including visa and customs formalities arrangements when required;
  • Verify that all passengers wear seatbelts at all times in the vehicle;
  • Ensure all immediate actions required by rules and regulations are taken in case of involvement in accidents;
  • Adhere to relevant job specific guidelines and policies of UN Women such as but not limited to the vehicle management policy; and
  • Ensure vehicle comply with the Security and Safety standard established at the duty station through Security Risk Management process.

2. Provide proper use of vehicle:

  • Contribute to environmental sustainability and cost-savings by driving responsibilities;
  • Maintain daily vehicle logs, daily mileage, gas consumption, oil change, servicing, greasing, repairs; and
  • Provide inputs to preparation of the vehicle maintenance plans and reports.

3. Provide day to day maintenance of the assigned vehicle:

  • Ensure that the official vehicle is kept cleaned, washed and is always in good working condition;
  • Make minor repairs and make arrangements for major repairs;
  • Change oil, check tire tread depth and pressure, lights, indicators, wipers, horn, clutch and brakes and ensure that any errors of warning indicators on dashboard are inspected and addressed in timely manner; and
  • Arrange and complete winterization of office vehicles when this is required by local traffic regulations or when travel to areas that might be affected by snow is planned.

4. Maintain and ensure availability of all required documents/supplies:

  • Maintain and ensure availability of all required documents/supplies including vehicle insurance, vehicle logs, office directory, and maps of the city/country, first aid kit, and necessary spare parts in the assigned vehicle; and
  • Ensure that all immediate actions required by rules and regulations are taken in case of involvement in accidents.

5. Provide general administrative and logistic support as needed:

  • Assist office staff in filing, photocopying and maintaining required records;
  • Assist in the ordering, physical verification and distribution of promotional materials and payments of bills;
  • Assist in asset verification and other administrative support;
  • Assist administrative assistant and Operations analyst with completing procurement related documents and procedures;
  • Provide administrative and logistical support with organization of various public events, including conferences, workshops, retreats, etc.
  • Receipt of shipments, customs clearance arrangements, preparation of documents for UN Women;
  • Maintain the database of the vendors and service providers, including potential vendors and conduct market research to keep the database up to date;

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.
