Job Purpose and Organizational Context

UNDP Mongolia supports the country in achieving sustainable, inclusive and resilient development aligned with the SDGs. The Country Office works in close partnership with the Government of Mongolia, civil society, the private sector, and development partners in the areas of climate change, natural resource management, biodiversity, effective governance, gender equality, and women’s empowerment.

The Executive Office plays a critical role in providing cross-cutting support to ensure operational effectiveness, risk-informed management, strategic planning, and efficient delivery across the office. This internship position is embedded within the Executive Office with a specific focus on ensuring efficient coordination, administrative and logistics support for the day-to-day running of the Office. Thus, this internship offers an opportunity to gain practical experience and deepen understanding of UNDP’s internal workflows in a multicultural and dynamic environment. It also provides practical experience in administrative operations and office management within UNDP.
Duties and Responsibilities

Assist in effective and efficient functioning of the management office:

Assist in day-to-day office management, including the arrangement of the RR/DRR’s meetings with partners, and providing logistical and administrative support for meetings, workshops, events, and official visits
Take minutes, and supports maintaining the office filing system
Assist in taking follow-up actions of the RR/DRR’s meetings with partners
Perform any other duties assigned by RR and DRR
Assist in providing effective administrative and logistics support to the Country Office:

Assist in updating directories of diplomatic missions, development partners and implementing partners;
Coordination of the information flow in the office and follow up on circulation files.
Other:

Contribute to internal knowledge management and process improvement initiatives related to office administration.
Support other/ad hoc activities as seen relevant and needed.

Requirements & Qualifications

Education:

Candidates must meet one of the following educational requirements:

Be enrolled in a postgraduate degree programme (such as a master’s programme, or higher);
Be enrolled in the final academic year of a first university degree programme (such as bachelor’s degree or equivalent);
Have recently graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation;
Be enrolled in a postgraduate professional traineeship program and undertake the internship as part of this program.

Field of study:

Public policy, social science, political science, international relations, development economics, management, innovation or equivalent.

Experience:

Applicants are not required to have professional work experience but experience working in administrative areas or development work is desired.

IT skills:

Knowledge and proficient user of Microsoft Office productivity tools;
Knowledge and proficient user of Video Conferencing tools such as Zoom and Microsoft Teams

Language:

Fluency in English is required;
Knowledge of other UN languages is an advantage.

Good analytical skills in gathering and consolidating data and research for practical implementation;
Outgoing and initiative-taking person with a goal oriented mind-set;
Communicates effectively when working in teams and independently;

Internship Conditions:

This internship assignment can also be completed as part of national service obligations or a postgraduate professional traineeship program.
UNDP will provide a stipend in the monthly amount of USD 223.07 (in-person rate) in accordance with the provisions of the UNDP Internship policy. Except for the stipend, all other expenses connected with the internship will be borne by the intern or her/his sponsoring entity.
Interns are expected to work full time, but flexibility is allowed for education programmes;
Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship;
Interns are not considered staff members and may not represent UNDP in any official capacity;
Selected Interns must be able to share proof of education enrolment and/ or graduation, medical/ health and life/accident insurance, valid for the location in which the internship will be carried out and be able to provide insurance documentary proof at the time of their selection;
UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship;
The purpose of the Internship Programme is not to lead to further employment with UNDP, but to complement an intern’s studies. Therefore, there should be no expectation and guarantee of employment at the end of an internship.
