Overview of position

Purpose of the consultancy:

  • The consultant will support the institutional team by managing reporting, assisting with bid circulation plans & confirming bid receipts with vendors, drafting contract content in word documents & providing other administrative support to the institutional contracting team to ensure the smooth functioning of procurement processes.

Background:

  • Provide support to the institutional contracting team of supply & logistics section to keep track of the high priority works & assist to complete them on time.

Objectives, purpose & expected results:

  • The objective of the assignment is to support institutional contracting team on the bid tabulation, drafting contracts in word documents & monitoring & reporting of the dashboard / RFP overview.

Role objectives
  • Assist in the preparation & circulation of bid documents to vendors & confirm receipt of bids.

  • Support in drafting contract content using Microsoft Word based on procurement needs.

  • Preparing tabulation against bids for WASH project in Cox’s Bazar.

  • Assist the procurement team with timely reporting, maintaining accuracy in records of procurement activities for service procurement.

  • Provide administrative support to the institutional contracting team i.e. arranging meetings, filing in Share Point etc.

  • Monitor the timeline for bid evaluations & provide timely updates to the procurement team.

  • Perform additional tasks as assigned by the supervisor to support smooth procurement operations.

On the last week of every month should submit the progress report covering key tasks & responsibilities as mentioned below:

  • Detailed & accurate procurement reports RFP overview, dashboard in insight.

  • Well organized bid circulation process with confirmed vendor responses.

  • Timely & accurate drafting of contract content in Word documents.

  • Comprehensive tracking & documentation of bid processes & procurement activities.

Project reporting

This role reports to the line manager.

Key competencies
  • Bachelor’s degree in business administration or a related field.

  • At least 3 years of relevant experience in procurement or supply chain management, including vendor communication & contract drafting.

  • Proficiency in Microsoft Office, particularly in Word & Excel.

  • Strong communication & report writing skills, with the ability to present complex findings in a clear & accessible manner.

  • Experience with service procurement & contract management.

  • Proficiency in Power BI. 

  • Fluency in Bangla & good English communication skills are required.

Team management

This role has no team management responsibility.
