Our commitment to employment equity helps achieve inclusion and fairness, brings rich diversity to UBC as a workplace, and creates the necessary conditions for a rewarding career.Job SummaryThe Women+ and Children’s Health Sciences (WACH) Program is a graduate program run jointly by the Departments of Obstetrics & Gynaecology and Pediatrics.The Program Manager will oversee and manage the WACH Program by assuming responsibility for administrative and operational management of the program. This will include ensuring the quality of the program; developing, implementing and facilitating all aspects of the extended program such as mentorship and supervisor development; as well as finance, communication and committee activities.Organizational Status
This position will be directly supervised by the WACH Program Co-Directors with input from the Education Managers of each Department.Work PerformedProvides information, guidance, and direction to prospective and current students of the WACH Program and transitioning students from other programs.Participates in long-term strategic planning and decision-making through analysis of issues and present options facing educational programs.Consults and provides guidance as the primary point of contact for the program.Responsible for formulating, articulating and documenting policies and procedures and ensuring adherence with guidance from the program Co-Directors.Oversees the organization of activities regarding applications to the Graduate Programs.Responsible for organizing supervisory privileges and registering supervisors/committees with G+PS.Responsible for orienting new supervisors into the program and organizing faculty applications to the program.Responsible for the evaluation, revision and maintenance of orientation materials for Graduate students and supervisors.Advises students in the program regarding meeting milestones including yearly supervisory committee meetings and required documentation and liaises with the Graduate and Postdoctoral studies (G+PS) office regarding student progress.Promotes and manages the development program for students in the program, including researching new courses and maintaining a record of training.Promotes life long learning for supervisors, including researching and communicating new course offerings.Responsible for the development of administrative systems to ensure the smooth delivery of the program.Promotes and manages the mentorship program, including recruiting mentors and mentees and maintaining a record of matches.Works in close collaboration with the Finance Manager to oversee the finances of the Graduate Program. This will include regular reporting to the Department Heads (or their delegates) of each Department.Responsible for overseeing the development and ongoing maintenance of the WACH Program website.Responsible for overseeing all communications related to the Graduate Program.Works in close collaboration with the education teams in both departments to ensure best practices are followed and there is standardization of processes across programs.Consequence of Error/Judgement
The incumbent is expected to exercise independent judgement and to ensure the smooth and successful operation of the program. Failure to fulfil these responsibilities may jeopardize the academic success of the students and damage the reputation of the program, department, and University.Supervision Received
The Program Manager is required to work autonomously with minimal managerial direction. The Education Managers from each Department will provide guidance as required.Supervision Given
May supervise program staff.Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience– Willingness to respect diverse perspectives, including perspectives in conflict with one’s own
– Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusionPreferred QualificationsDemonstrated experience with end to end event planning and execution and fund development. Demonstrated experience with marketing and communications best practices using a variety of social media, computer and written mediums. Experience with web and graphic design and maintenance. Demonstrated ability to navigate MS Office programs at an intermediate level including Word, Excel, Power Point and MS Outlook. Experience with in-house financial and procurement systems. Ability to analyze and interpret data, determine implications, and provide recommendations Ability to understand and apply policies, procedures, and instructions. A solid understanding of accounting methodology, experience with reconciliation of accounts, and understanding of accounting systems.Ability to work independently while exercising good judgement at all times. Well-developed analytical and problem-solving skills are required, along with skills in conflict resolution. Strong conceptual abilities combined with high attention to detail. Ability to work simultaneously on a variety of complex projects with imposed deadlines; ability to formulate strategic plans; effective communication skills, verbal and written; strong interpersonal and negotiation skillsAbility to initiate, foster and maintain relationships at all levels of personnel at the university and with external partners/donors and other stakeholders.
