What You’ll Do

Represents Director and organization on a variety of business and administrative matters
Recommends, interprets, and/or implements company and internal administrative policies and procedures
Reports directly to the FOM Director assisting in the smooth operation of the division business functions
Performs a wide variety of duties as required by daily operations
Works directly with the division leadership team and project team members
Receives, screens, and redirects incoming communications as appropriate and identifies items requiring priority attention
Independently responds to letters and general correspondence of a routine nature
Ensures work is completed in a timely, professional manner with attention to details
Works with administrative staff to arrange meetings, events and programs as directed
Manages special projects as directed
Researches and writes first draft reports on routine administrative matters
May prepare budgeting, project scheduling, and statistical reports as required
Reviews status of projects and develops administrative mechanisms for monitoring project progress to meet productivity, quality and customer satisfaction goals and objectives
Assists in selection of administrative personnel

Minimum Job Requirements

High school diploma: Minimum 7 years of relevant experience
ORAssociate’s Degree: Minimum 4 years of relevant experience
Typical experience ranging from 7 to 10 years

Preferred Job Requirements

Bachelor’s degree in business, office administration, or related field with a minimum of 5 years increasingly responsible administrative/office management work experience preferred
Experience in SAP applications (YBuy, APlus, Travel, etc.) is preferred
Requires knowledge of administrative and general office management practices and excellent customer service skills
Must be able to research complex issues, organize multiple sources of data, develop a plan, and communicate effectively
Requires a high level of trust, integrity, and a customer service mindset
Requires proficiency in Microsoft Office applications (Excel, PowerPoint, Word and Outlook)

Requires a Q clearance; however all qualified candidates will be considered regardless of their current clearance status. The ability to obtain and maintain a Department of Energy Q clearance is required.

This position may require entry into the Material Access Areas (MAA) and participation in the Human Reliability Program (10 C.F.R. Part 712), which requires successful competition of a DOE counterintelligence evaluation and may include a counterintelligence-scope polygraph examination.

This position may be categorized as a “designated position” identified by 10 C.F.R. Part 709, requiring successful completion of a DOE counterintelligence evaluation that may include a counterintelligence-scope polygraph examination.
