VTG is seeking an Administrative Assistant to support our customer in our Washington, DC office for the Conventional Prompt Strike (CPS) Program under the Department of the Navy. As an Administrative Assistant you will support the team by providing support to ensure maximum efficiency throughout the team. The ideal candidate will have experience with DoD and Navy correspondence practices, understanding of chain of command and governance, and previous exposure to an engineering environment. This position is onsite at Washington, D.C. office up to 4 days with the possibility of 1 day of telework per week.

What will you do?

• Create, type, merge, revise, update, format, proofread, serialize, print, prepare, and route documents, presentations, Naval Messages, and correspondence for Government review and issuance, including handwritten and marked up materials, sketches, draft electronic documents, previous electronic versions, and databases.
• Prepare, develop, and coordinate Government reviews, and distribute briefings, action tracking lists, after action reports, lessons learned, and meeting minutes for the record.
• Support travel management functions which include pre and post audits of travel authorizations and vouchers in the Defense Travel System (DTS), approvals, conference administration, and general customer assistance.
• Maintain office staffing lists and organization charts.
• Copy, duplicate, scan, and collate documents for distribution.
• Enter visit requests in the security portal including researching Security Management Office (SMO) Codes and POCs and confirming receipt with the receiving activity.
• Provide schedule management support such as maintaining schedules, databases, spreadsheets, presentations, and correspondence using data provided by the Program Office.
• Provide coordination, administration, and technical support for meeting and conference support.
• Prepare and coordinate agendas.
• Responsible for delivering conference agendas, presentation materials, and recording meeting minutes.

Do you have what it takes?

Required skills:

• Must have a bachelor’s degree from an accredited institution in a related field and 11 years of experience or a High School DIploma and 15 years of experience.
• Must have the ability to obtain and maintain a Secret level clearance. Fully adjudicated Secret clearance is preferred.
• Must be a U.S. citizen.
• Highly proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, and Word).
• Capacity to work independently without significant guidance and be able to exercise good judgment.
• Experience with the Defense Travel System (DTS).
• Analyze and interpret program data to identify any risks, issues, solutions, and recommendations.
• Ability to manage and prioritize numerous assignments.

Preferred skills:

• Expertise in DoD roles, missions, and organizational structure.
• Experience with multiple engineering disciplines is a plus!

Pay Range: VTG’s estimated starting pay range is $75,000-$110,000 annually, which is a general guideline for the geographic location. When extending an offer, VTG also considers work experience, education, skill level, market considerations and may possibly include contractual requirements which may cause an offer to fall outside of this range.
