Fleet Operations Supervisor (FLEET SVC SUPV 2)

Job Summary

Under the general supervision of the Director of Fleet Services, the Fleet Operations Supervisor is a key member of Fleet Services management team along with the Director, Agricultural Services Shop, and Parts Supervisors. The incumbent provides management and strategic support to Fleet business operations and to the Safety Services support departments. Responsible for providing strategic and analytical support, making recommendations on fleet business processes to prevent, mitigate and respond to customer issues. Develops and implements internal operational policies, procedures, guidelines and controls. Interprets and applies university regulations, policies and procedures pertaining to fleet metrics including utilization, fleet cost effectiveness, and sustainability, grant administration, and special projects.

Qualifications

Minimum Qualifications – For full consideration, applicants are encouraged to upload license and/or certification if required of the position

• Required to hold a valid California driver’s license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program
• Bachelor’s degree in a related field and/or equivalent experience
• Experience in business management, accounting principles and practices, and enterprise or internal services fund accounting.
• Experience with developing complex budgets, establishing internal controls financial analysis, forecasting and strategic planning to analyze and compile fleet data and reports. Experience analyzing workflow and designing efficient business processes to continually review and recommend best practices.
• Experience with fleet database management systems to retrieve and analyze information to form detailed and comprehensive reports and dashboards in addition to experience utilizing spreadsheets, word-processing, e-mail/calendaring, navigation software, and other standard office equipment.
• Independent judgment skills to determine the type of quantitative data needed for analyses and to develop recommendations based on the analysis.
• Strong writing and communication skills to prepare and present documents, reports, proposals for management and correspondence with various constituencies within campus and UC system as well as strong interpersonal skills to effectively interact with individuals of varying backgrounds.
• Administrative and analytical expertise to support Fleet Management business and financial decisions for sustainability planning.

Preferred Qualifications

• Certifications in Fleet Management from NAFA or APWA.
• Experience in Fleet Administration, Facilities Management, and Automotive or Transportation industry.
• Experience interpreting, applying and communicating campus accounting policy and procedures to provide advice for management and exchange information.
• Experience with University systems (M5, Tririga, Kuali, MyAggie)Organizational and time management skills to effectively prioritize workload, handle multiple tasks, meeting multiple deadlines with frequent interruptions.
• Experience working with all areas of fleet services. Knowledge of fleet maintenance and repair best practices, equipment types, functions, and procedures to ensure long asset life.
• Knowledge of Fleet Management Information Systems and /or experience managing a fleet of 100 or more light or heavy vehicles. Skill to work independently and as part of a team to support management for decision-making and long range planning. Knowledge of automotive and heavy equipment vehicles and equipment, their sub-assemblies, and general maintenance and repair techniques, tools and parts. Specifications development for new vehicles and equipment.

Department Overview

UC Davis Fleet Services manages a fleet of vehicles for the UC Davis Campus in Northern California that are assigned and travel throughout the nation. There are approximately 870 fleet-owned vehicles with an acquisition value of over $15 million and another 600 department-owned vehicles, carts, and trailers maintained by Fleet Services. These vehicles are available to support teaching, research, administrative programs and all campus support programs.
