Duties & Responsibilities:

  • Book and attend key meetings, prepare meeting agendas, minute taking and follow up on outstanding items.
  • Administrative support with activities related to business travel and events.
  • Responsibility for maintaining tracking on key information relating to resources and CAPEX.
  • Supporting requests by managers for getting quotes and placing orders internally
  • Collation and preparation of reports, presentations and other documents in advance of meetings/ engagements.
  • Supporting Program Managers with ad hoc administrative duties.
  • Maintaining confluence with product documentation and structure.
  • Managing internal group calendars to track holidays and key events/ meetings.
  • Maintain a strong working relationship with other departments.
  • Liaise with stakeholders on behalf of senior management.
  • General administrative support.

Pre-Requisites / Skills / Experience Requirements:

  • Proven administrative/ assistant experience, providing support to a group of leaders.
  • Exceptional organisational and time management skills.
  • High levels of flexibility and adaptability.
  • Proven experience in minute taking and record keeping.
  • Proficient in MS Office and knowledge of office management systems and procedures.
  • Thorough understanding of the importance of confidentiality and discretion.
  • Proven communication skills, both verbal and written.
  • Demonstrable analytical and problem-solving skills, with the ability to manage multiple tasks simultaneously.
  • Proven ability to work with very little input .
  • Ability to solve various issues using in-depth methods and techniques.
  • Strong collaboration and team working skills, with the ability to develop and maintain strong productive relationships.
